We are seeking an Operations Manager responsible for general administration in our Atlanta real estate sales office. In addition to supporting the Managing Broker and assisting the agents, the Operations Manager coordinates transactions to insure the efficiency of listing, sales and closings activities. The Operations Manager also ensures that our agents, transactions, and documentation comply with real estate law and regulations. Many of the duties of this position must be performed in real time as home sales occur and may require availability after hours and on weekends. This is a critical position affecting almost every aspect of the operation of the sales office.
Responsibilities include:
- Manage transactions including process listings, sales and closings in our transaction management software system and maintain complete records of listings, contracts and closings. Review files to make certain that all necessary documents are in compliance.
- Support Managing Broker with sales associate onboarding and educate sales associates on marketing, operations and transaction management software. Provide support in the processing of all sell/buy transactions.
- Coordinate office payables and receivables with the accounting group and obtain approvals for expenses as necessary.
- Take ownership of all office administration tasks, including general office and business supply orders, equipment maintenance, preparation and processing of new affiliation paperwork and licenses, maintain files and oversee general office appearance and repair issues.
- Ensure all agents have a current real estate license. Notify Managing Broker if an agent has not renewed their license. Maintain online license portal and all necessary updates / submittals.
Requirements include:
- Three or more years’ experience in a real estate operations role with administrative oversight, or three or more years as a residential real estate closer / paralegal.
- Georgia real estate salesperson or broker license.
- Very high proficiency in Microsoft Office Suite and real estate SaaS systems as well as ability to create professional documents.
- Critical problem-solving skills. Strong communication skills, verbal and written.
- Ability to interact pleasantly and professionally with both internal and external customers at all levels.
- Real estate math skills which include prorations, addition, subtraction, multiplication, division, percentage, fractions and the ability to calculate commissions.
- Ability to multi task, prioritize and be flexible with changing business needs in a team environment.
- Willingness to work in a flexible environment including evenings and weekends.
