Job Title: Executive Assistant | Content Publicity and Events
Pay: $32.00-$35.50/hour | Based On Experience
Duration: 6-months | Potential to Extend
Schedule: Monday-Friday | 8am-5pmET
Location: 100% ONSITE | NYC OR DC
The Executive Assistant will support the content publicity and events team in creating presentation materials, providing project management support, coordinating department-level meetings and events, and collecting weekly updates from the team to share with senior leadership.
Key Responsibilities:
- Provide day-to-day administrative support, including managing schedules, calendars, and meetings for three leaders in publicity and events.
- Coordinate and schedule meetings, ensuring all relevant information is included.
- Handle office tasks such as generating reports and presentations, setting up for meetings and events.
- Manage leaders’ time tactfully, multi-task efficiently, and communicate clearly with team members.
- Screen and flag important incoming emails to the appropriate team members.
- Arrange travel plans, including booking flights, cars, and hotel reservations, and ensure details are communicated and accessible.
- Prepare and submit business-related expenses using Concur/SAP in a timely manner.
- Correspond with senior executives’ assistants and external/internal partners professionally via phone and email.
- Support the Content Communications team by sending PR updates and assisting with screening events.
- Manage executive mail and shipping requests, order supplies/materials, and process invoices as needed.
- Handle other administrative projects as assigned.
Required Skills and Attributes:
- 1+ years of experience as an executive assistant supporting senior executives or equivalent.
- Strong passion for television and familiarity with industry concepts, practices, and procedures, particularly in marketing.
- Experience in the entertainment industry, ideally in publicity or marketing preferred
- 1+ year of public relations/media experience or similar preferred
- Ability to troubleshoot tech issues as they arise.
- Working knowledge of SAP and Concur systems.
- Project management experience preferred
- Experience working with talent and staffing events.
- Maintain strict confidentiality with all matters and documents.
- Make independent decisions while handling sensitive information, exercising good judgment and discretion.
- Highly detail-oriented and organized, with the ability to manage multiple high-priority projects and prioritize work appropriately.
- Proactive in anticipating the needs of executives and managing office time efficiently.
- Maintain an efficient office environment, including files, databases, and information.
- Professional, friendly, and adaptable to handle various personalities, responsibilities, and assignments.
- Ability to multitask and work under tight deadlines with a calm, professional demeanor.
- Excellent written and verbal communication skills, with the ability to interact successfully with senior executives and key external partners.
- Proficient in general administrative skills including answering phones, filing, etc.
- Skilled in software including Microsoft Word, Excel, Outlook, PowerPoint, Keynote, Google Sheets, Google Docs, and Zoom.
- Willingness to work overtime as necessary.
- Team player, willing to support other assistants and staff at all levels.
Education:
- Bachelor’s degree in Communications, Journalism, or a related field
