Job Description: We are seeking a dedicated and detail-oriented Client Services Coordinator/Receptionist to join our team. In this role, you will be a point of contact for clients visiting our office in person, ensuring they receive a warm welcome and exceptional service. You will manage various administrative tasks to support our legal team and contribute to the smooth operation of our office.
Key Responsibilities:
- Serve as a point of contact for in-person visits to the office.
- Handle client intake, including welcoming new clients, providing contracts, receiving initial payments, and giving welcome kits.
- Manage document intake by scanning and saving documents, and notifying virtual team members of new documents.
- Take fingerprints for FBI fingerprint checks and OBIM FOIA requests.
- Gather and print PDF packets for mailing, as directed by paralegals and virtual team members.
- File notices in the appropriate files.
- Receive, scan, and notify the correspondence specialist of mail and documents received via USPS.
- Schedule appointments for attorneys and manage the office calendar.
- Handle initial inquiries and direct clients to the appropriate resources or staff members.
Qualifications:
- Some college coursework completed, or an associate’s or bachelor’s degree in a related field is preferred.
- Bilingual in Spanish and English is required.
- Experience working with or connection to immigrants from Central America or Mexico is strongly preferred.
- Previous experience in a client-facing role, preferably in a legal or professional services environment.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Proficiency with office equipment and software, including scanners and Microsoft Office Suite.
- Ability to multitask and manage time effectively in a fast-paced environment.
