We are seeking a highly organized and proactive Litigation Paralegal to join a dynamic legal team. The ideal candidate will be responsible for a range of tasks that ensure smooth client intake, efficient case management, and compliance with ethical standards. This role demands attention to detail, strong organizational skills, and the ability to work collaboratively with attorneys, clients, and colleagues.
Key Responsibilities:
1. Potential Client ("PC") Contact/Intake - LawMatics:
- Gather intake information from potential clients, schedule calls, and assess cases.
- Log all relevant information into Lawmatics, run conflict checks, and maintain up-to-date records.
- Schedule consultations, send Zoom meeting links, and coordinate with the Clio calendar to confirm meetings.
- Send new client packages to facilitate onboarding.
- Track key statistics, including the source of the client, retainer amount, and referral source.
- Arrange for client and colleague appreciation gifts as needed.
2. Discovery Tasks - CLIO and Everlaw:
- Prepare deposition notices and discovery requests as required.
- Schedule depositions with court reporters, manage calendars and confirm appointments.
- Organize and gather exhibits, and copy documents when necessary.
- Summarize deposition transcripts and log exhibits for easy access.
- Monitor discovery service and response dates.
- File document production in both Clio and Everlaw.
- Prepare discovery deficiency letters and maintain proper documentation.
- Add documents and deposition transcripts to Everlaw.
- Unitize documents in Everlaw and assist with other miscellaneous Everlaw tasks.
- Log emails into Clio by client, topic, and folder for effective case management.
- Prepare exhibits for depositions and trials.
- Assist in preparing motions to compel discovery, motions to quash, and other miscellaneous legal motions.
- Facilitate communication with the court, chambers, and opposing counsel.
- Attend weekly or bi-weekly case status meetings to provide updates on case progress.
3. Ethics Investigations and Filings:
- Send out letters to Grievant and respondent in ethics investigations.
- Track responses and schedule interviews as necessary.
- Upload reports to the Office of Attorney Ethics filing portal and maintain complete records.
- Monitor and track certified mail and other related documents.
4. Miscellaneous:
- Welcome visitors to the office and coordinate lunches for depositions and meetings.
- Maintain office organization and supplies to ensure efficient workflow.
- Handle post office or Staples visits when needed, including copying tasks.
- Assist with in-office deposition tasks as assigned by attorneys.
- Tackle other miscellaneous tasks as directed by the attorney in charge (AH).
Qualifications:
- A bachelor's degree or paralegal certification is preferred.
- Previous experience in a paralegal or client coordinator role is a plus.
- Proficiency in legal software, including Clio and Everlaw, is desirable.
- Strong communication and interpersonal skills.
- Exceptional attention to detail and organizational abilities.
- Ability to prioritize tasks and meet deadlines.
- Knowledge of ethical standards and legal procedures.
- Flexibility to adapt to evolving job responsibilities.
