Job Overview: The Medical Assistant will support clinical operations by assisting with various tasks related to egg and sperm donation processes. This role is essential in ensuring the smooth operation of donor procedures, from initial blood draws to post-retrieval care. Adherence to the Clinical Operations Manual and Protocols (COM/P) is required, with any changes needing approval from the Medical Director and the CEO or COO.
Essential Duties:
Donor Support:
- Assist with blood draws for egg and sperm donors.
- Room donors and obtain vital signs for all donors.
- Schedule monitoring and baseline ultrasound visits in coordination with RN and NP.
- Ensure all donors in the cycle have appointments by checking daily schedules.
- Organize monitoring from outside clinics (ultrasound and labs) and enter data into cycle stimulation sheets.
- Aid in scheduling remote ultrasounds and lab draws for out-of-state donors.
- Book donor travel and assist with travel needs.
- Coordinate transportation to and from hotels for out-of-state donors, with Manager approval for atypical circumstances.
Clinical Assistance:
- Assist RN, NP, and MD with entering ultrasound data into the database.
- Provide support during retrieval procedures.
- Clean and sterilize instruments post-retrieval.
- Assist donors in their vehicles after retrieval and complete the “turnover” of the recovery area.
Operational Tasks:
- Stock exam and retrieval rooms with necessary supplies.
- Maintain logs for all supplies needed for egg donors and request orders weekly, following NP approval.
- Create donor bags for retrieval days.
- Organize and log donor medications.
- Manage physical and electronic donor charts to ensure all required documents are included.
Training and Compliance:
- Participate in training for monitoring donors during recovery.
- Participate in training for Antral Follicle Count (AFC) ultrasound performance.
- Assist with injection training for donors alongside RN to address donor questions.
- Become familiar with required testing to assist in completing clearance checklists.
Qualifications:
- Education: A high school diploma or equivalent is required; medical assistant (CMA) certification is preferred.
- Experience: Previous experience as a Medical Assistant or in a similar clinical role, especially in reproductive health or related fields, is preferred.
- Skills: Strong clinical skills, including blood draws and vital sign measurement proficiency. Familiarity with ultrasound procedures and medication management is advantageous.
- Attention to Detail: Ability to accurately manage and organize donor data and clinical documentation.
- Communication: Excellent communication skills for interacting with donors and coordinating with clinical staff.
- Organizational Skills: Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
