Position Summary:
The Project Coordinator will play a key role in ensuring the smooth execution of construction projects by managing project documentation, coordinating communications between teams, and supporting the project manager with daily tasks. The ideal candidate will have experience with managing RFIs (Requests for Information), writing detailed scopes of work, and coordinating various project-related activities. This position requires excellent organizational skills and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- RFI Management: Prepare, issue, and track RFIs, ensuring timely responses from architects, engineers, and other stakeholders.
- Scope of Work Development: Draft and review detailed scopes of work for subcontractors, ensuring clarity and alignment with project requirements.
- Document Control: Maintain and organize all project documentation, including contracts, change orders, submittals, and schedules.
- Project Coordination: Assist in coordinating project schedules, meetings, and communications between the project manager, subcontractors, vendors, and clients.
- Subcontractor Communication: Communicate regularly with subcontractors to ensure all project-related information is clear and tasks are on track.
- Change Order Management: Support the project team in processing and tracking change orders, ensuring that any changes to the project scope or budget are properly documented and communicated.
- Project Reporting: Assist in preparing and distributing regular progress reports, ensuring all stakeholders are informed of project status.
- Quality Assurance: Ensure that all project documentation is complete, accurate, and submitted in a timely manner.
- Administrative Support: Provide general administrative support to the project management team, including scheduling, tracking deadlines, and coordinating resources.
Qualifications:
- Experience: Minimum 3 years of experience in a project coordination role within the construction industry, preferably in commercial, hospitality, renovation, or multifamily projects.
- Education: Bachelor’s degree in Construction Management, Business, or related field preferred but not required.
- Technical Skills: Proficient in construction management software (e.g., Procore, Bluebeam, or similar), RFIs, and Microsoft Office Suite (Word, Excel, Project).
- RFI Knowledge: Experience with managing RFIs and understanding their importance in the project communication process.
- Scope of Work: Proven experience in drafting and reviewing scopes of work for subcontractors and vendors.
- Communication: Strong verbal and written communication skills, with the ability to convey complex information clearly.
- Organizational Skills: Excellent attention to detail, time management, and multitasking abilities.
- Team Player: Ability to work collaboratively with a diverse project team and manage multiple responsibilities in a fast-paced environment.
- Problem-Solving: Strong problem-solving skills and the ability to anticipate issues before they arise.
