About the Role:
The Purchasing and Inventory Specialist plays a crucial role in managing the procurement process and maintaining optimal inventory levels to support the company's operations. This position requires meticulous attention to detail, strong organizational skills, and the ability to collaborate effectively with vendors and internal coworkers and management.
Responsibilities:
Procurement:
- Source and evaluate suppliers based on price, quality, and delivery speed.
- Negotiate contracts, terms, and pricing with suppliers to ensure cost-effectiveness.
- Place purchase orders for materials, equipment, and supplies as per company requirements.
- Track and expedite orders to ensure timely delivery and resolve any issues or discrepancies.
- Monitor supplier performance and address any concerns or deviations from agreed-upon terms.
- Maintain accurate records of purchases, contracts, and pricing agreements.
Inventory Management:
- Conduct regular inventory counts and reconcile discrepancies with actual stock levels.
- Monitor inventory levels and reorder points to prevent stockouts and minimize excess inventory.
- Coordinate with internal departments to forecast demand and adjust inventory levels accordingly.
- Implement inventory control measures to optimize storage space and minimize carrying costs.
- Identify slow-moving or obsolete inventory items and propose strategies for disposal or liquidation.
- Develop and maintain inventory reports, including stock status, usage trends, and inventory turnover.
Vendor Management:
- Cultivate and maintain relationships with key suppliers to ensure reliable and consistent product availability.
- Communicate effectively with vendors regarding order status, product specifications, and quality standards.
- Evaluate vendor performance based on metrics such as delivery timeliness, product quality, and customer service.
- Collaborate with vendors to identify cost-saving opportunities and process improvements.
Documentation and Compliance:
- Ensure compliance with company purchasing policies, procedures, and regulatory requirements.
- Maintain documentation related to purchasing activities, including purchase orders, contracts, and invoices.
- Assist in the resolution of invoice discrepancies and payment issues.
- Keep abreast of industry trends, market conditions, and regulatory changes affecting procurement and inventory management.
Continuous Improvement:
- Identify opportunities for process optimization and cost reduction within the purchasing and inventory functions.
- Participate in cross-functional teams to implement process improvements and system enhancements.
- Provide feedback and suggestions for improving the efficiency and effectiveness of purchasing and inventory management processes.
- Managing special orders from start to finish and communicating with sales and front counter.
- Logged in and actively using Teams during working hours.
- Perform other duties as assigned by management.
Qualifications:
- High school diploma or equivalent.
- Proven experience in purchasing, procurement, or inventory management roles.
- Strong analytical skills and attention to detail.
- Excellent negotiation and communication skills.
- Proficiency in inventory management software and Microsoft Office Suite.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of procurement best practices and industry standards.
- Certification in purchasing or supply chain management (e.g., CPSM, CSCP) is a plus.
- Familiarity with regulatory requirements related to procurement and inventory management.
- Ability to adapt to changing priorities and handle multiple tasks simultaneously.
