General Responsibilities:
As a Sales Support Specialist, you will be responsible for assisting the sales team by providing data, managing the transfer of information from the sales team to the estimators for quote requests, and to the Project Managers when an order is received. Additional responsibilities include oversight of all projects, estimating, sizing’s by engineers, and conceptual designs through the complete product development cycle. This position must ensure that while managing these projects that all key information essential to successful completion of the quote or project is gathered, documented, filed, and scheduled timely and accurately. The position will work directly with Sales, Engineering, Drafting, Purchasing, Production, Quality Control, and Shipping to develop and monitor a predictable schedule that serves the customer’s needs and ensures the delivery of the assigned product(s) on time.
Essential Functions/Major Duties include but not limited to the following:
- Coordinates with Sales Manager and other Sales personnel to identify target markets and target prospects.
- Generate and receive direct phone calls to potential and existing customers – quantifying needs, selling the Western Utility Telecom solution, and developing and sustaining a long-term business relationship.
- Provides price quotes, answers inquiries, or requests and resolves complaints and problems.
- Receive and enter sales orders in a timely manner.
- Maintain, print, and file daily sales quotes and orders.
- Mail promotional materials and catalogs upon request.
- Provide, or facilitate the provision of, technical assistance and logistics support to customers via e-mail, phone, and occasionally, in person.
- Coordinate with estimators, engineers, and Outside Sales to ensure timely quote submittals.
- Coordinate with project managers, purchasing, production, and shipping to ensure timely shipments.
- Must keep log of all calls throughout week to include customer information, topics discussed, and any needs or intelligence identified. This information will be required in a designated format, in writing, each week to be sent to the Sales Manager.
- Must track the status of all quotes and orders, their status, and issues, from Sales Order to shipping, and invoicing.
- Attending and participating in all sales meetings and functions.
- Handles customer inquiries, qualifies customers for short- and long-term needs.
- Coordinates with Sales to identify accurate product delivery projections.
- Provide technical assistance via phone and e-mail.
- Other tasks as defined by the Sales Manager.
- Works with Project Managers to maintain visibility of due dates for all departments.
- Requesting Insurance documents from our insurance company when requested by a client or sales team, and filing said documents in their respective customer folders.
Secondary Functions:
· Travel to see account contacts and/or actual job sites, if requested.
· Occasionally work with customers on job specifications.
Job Scope:
- This job has recurring work situations with occasional variations from the norm. Duties involve a moderate degree of complexity with customers and the company’s management team. The position can expect a need to equitably reconcile competing interests for time and resources between managers of the departments in the product development cycle to ensure the customer’s needs are met. There may be stressful situations. Duties are performed under direct supervision of the Sales Manager with established procedures and guidelines. Errors in accuracy, judgment, service, and level of professionalism affect the smooth and efficient operation of product development cycle, ultimately impacting the profitability of the company as well as customer and staff trust levels.

- Contacts are made both inside and outside the company. Internal contacts will include the sales team, the product development cycle team, and the entire staff at various times. External contacts include customers and suppliers.

Education and/or Experience:
· Associate degree or equivalent experience required.
· Experience in project management or management assistance preferred.
· Experience basic computer skills – Word Processing, Spreadsheet, Adobe, Power Point, etc.
· 6-12 months’ prior customer service background
Job Conditions:
· Clean office in a manufacturing environment.
· Hours may exceed more than 40 per week especially during peak times
