About the Opportunity:
Job Summary
- Administrative support needed which includes typing, filing and scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, research and working on special projects.
- The Administrative Assistant will deal with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload, and recommend changes in office practices or procedures.
- A high degree of confidentiality and discretion are key to the success of this role.
Administrative Support:
- Schedules and organizes complex activities such as meetings, conferences, teleconference/video conferences and department activities for members of the department and implements logistics.
- Assists in preparing PowerPoint presentations for meetings.
- Order office supplies maintain an adequate supply of frequently used supplies and keep inventory count of stock.
- Assist with setting up and breaking down collateral for meetings.
- Sorts and distributes mail.
- Sets up and organizes files and manuals and maintains existing filing structure to meet audit and records management guidelines.
- Drafts written responses or replies by phone or e-mail when necessary.
- Organizes and prioritizes large volumes of information and calls.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Prepares and coordinates written correspondence; makes copies for meetings/presentations. Responsible for accuracy and clarity of final copy.
- Respond to non-routine correspondence and assemble confidential and sensitive information.
- Assists when needed with coordinating business travel arrangements for staff, to include, preparing travel itineraries and expense reports.
- Assist with documenting process documents.
- Provides phone coverage.
- Provide backup support as needed.
