Job Title: Office Manager/Front Desk Administrator
Reports to: Practice Administrator/Physician
Summary:
We are seeking a highly organized and adaptable Office Manager/Front Desk Administrator to serve as the heart of our small, but busy pediatric practice. This role combines traditional front desk duties with office management responsibilities, ensuring the smooth operation of our office and providing excellent patient care.
Key Responsibilities:
Front Desk Administration:
- Greet and check-in patients, verify insurance information, and collect co-pays
- Answer and direct incoming calls, schedule appointments, and manage patient inquiries
- Manage patient paperwork, including new patient registration, consent forms, and medical records
- Process patient check-outs, schedule follow-up appointments, and provide discharge instructions
- Maintain a clean and organized reception area
- Assist with room cleaning and preparation between patients (as needed)
Office Management:
- Open and close the office daily, ensuring security and readiness for operations
- Manage staff timekeeping, including clock-in/out procedures and time-off requests
- Handle morning communications from staff, including late arrivals or absences
- Prepare and send lab specimens
- Maintain office supplies and equipment inventory
- Assist with coordinating staff schedules and coverage
- Liaise with vendors and service providers
Qualifications:
- High school diploma or equivalent required; some college or medical office experience preferred
- Strong customer service skills and a friendly, welcoming demeanor
- Excellent communication and interpersonal skills, both verbal and written
- Ability to multitask and prioritize effectively in a fast-paced environment
- Detail-oriented with strong organizational skills
- Proficient in Microsoft Office Suite or similar software
- Ability to maintain confidentiality and adhere to HIPAA regulations
- Prior experience in a medical office setting is a plus
