We are seeking a seasoned and professional Executive Assistant to support the President/CEO. This is an autonomous role where being a proactive self-starter with a positive attitude and ability to multi-task will be the key to success. This position is responsible for providing a high level of confidential executive and administrative support to the President & CEO, boards and committees. Prepares and maintains accurate minutes, reports and membership lists. Manages phones, mail and accuracy in member database. Liaison to assigned committees and plans board and committee meetings. Assists and attends special events, programs and activities as requested. Ideal candidate will have executive/leadership administrative support experience, excellent written and verbal communication skills, as well as advanced experience with Microsoft Office products.
Executive Assistant Responsibilities:
- Responsible for providing administrative support to the President & CEO to include obtaining, analyzing, and preparing data for various reports, assignments, and projects.
- Provides a high level of communications and administrative support to WICPA officers, board, committees and WICPA Educational Foundation.
- This position is responsible for providing a high level of confidential as executive and administrative support to the President & CEO, boards and committees.
- Prepares and maintains accurate meeting agendas, minutes, reports, and membership lists.
- Schedules appointments for the President & CEO as directed.
- Prepares, proofs, and submits assigned correspondence, reports and other documents ensuring a high level of communication and accuracy.
- Act as liaison and oversee the organization of meetings to include attendance tracking, minutes, lunches, facility readiness and other requests as presented.
- Oversee and manage facilities from rooms to needed supplies to technologies for meetings.
- Manage reminders, information accuracy within database, and creation of documents and reports as requested.
- Assists with special events, programs and activities.
- Schedule legislator visits in Washington DC and Madison for WICPA members.
- Collaborates with key leadership and co-workers for member events, banquets, publications, and awards.
- Promotes programs, activities and membership enrollment in interactions with existing and potential members.
- Under the direction of the President & CEO, manages special projects.
- Manage and answers phones, assisting members and manages daily mail.
Executive Assistant Requirements:
- Bachelor’s degree from an accredited institution in Business, Administration, or Communication
- 5 years previous experience as an Executive Assistant reporting directly to C-level executives.
- Demonstrates exemplary business writing and verbal communication skills.
- Advanced knowledge and experience in Microsoft Office, data entry, and report management.
- Must possess strong organizational, project management, attention to detail, and problem-solving skills.
- Demonstrates good judgement and critical thinking in a high performance, fast-paced work environment.
- Must be able to work independently and in a team-oriented environment
- Required to maintain confidentiality with information obtained in position.
- Must possess a valid driver’s license and reliable source of transportation and must be able to travel as scheduled.
- Must be able to work additional over-time as required.
