We are seeking an experienced Executive Assistant to support the CEO and manage administrative operations for a dynamic high-growth language and AI tech start-up based in Austin, TX. Our Founder and CEO is a visionary leader with a strong focus on innovation and growth.
This opportunity is ideal for a personable, highly organized individual ready to take a proactive and high-touch role in a fast-paced growing portfolio of businesses. The company is experiencing significant growth and investment, and the ideal candidate will be comfortable supporting the CEO in an organization that is rapidly evolving and expanding.
Key Responsibilities:
- Manage and organize CEO's calendar and schedule
- Maintain CEO's focus, keep track of and ensure follow-through of critical tasks, ensure CEO’s office and operations run smoothly
- Manage and organize CEO’s digital files
- Arrange all travel, accommodations, and other reservations as needed
- Coordinate meetings, communications, and projects with internal and external stakeholders
- Prepare documents, presentations, files, and reports relating to ongoing business operations and M&A activities
- Review and track contracts and other business documents and files
- Provide high-level administrative and organizational support with a proactive, helpful, and solutions-oriented approach
- Handle expenses and expense reporting
- Coordinate, oversee logistics, and travel to quarterly executive offsite meetings
Qualifications:
- Proven experience as an Executive Assistant in a fast-paced startup environment
- Excellent organizational and multitasking abilities
- High level of intuition, integrity, and professionalism
- Strong ability to prioritize, problem-solve, take initiative, and be resourceful
- Exceptional written and verbal communication and interpersonal skills
- Service-oriented mentality with the desire to help others, do great work, and deliver results
- Ability to support the CEO onsite in Austin, while working with a highly distributed workforce across the rest of the US, Europe, and Latin America
