Job Purpose:
The Executive Administrative Assistant provides high-level administrative support to the management team, including the CEO, CFO, and Vice President management team members. This role involves managing schedules, handling communication, preparing reports, preparing meeting decks, organizing meetings, and ensuring the efficient operation of the executive office.
Key Responsibilities
Calendar & Schedule Management:
- Coordinate and manage the executives' daily schedules, including meetings, appointments, and travel arrangements.
- Ensure the management team is prepared for meetings with materials, agendas, and relevant documents.
Communication & Correspondence:
- Serve as the primary point of contact between executives, internal staff, and external partners.
- Handle incoming calls, emails, and other communications on behalf of executives.
- Draft and edit professional correspondence, presentations, and reports.
Meeting & Event Coordination:
- Organize and coordinate internal and external meetings, including team meetings, board meetings, and client presentations.
- Prepare agendas, take meeting minutes, and follow up on action items as needed.
- Manage logistics for executive events, conferences, or offsite meetings.
Travel Management:
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Ensure compliance with travel policies and manage travel-related expenses.
Document Management:
- Organize and maintain confidential files and records, including legal documents, contracts, and executive reports.
- Ensure that documents are easily accessible and updated regularly.
Project Management:
- Assist in the planning and execution of special projects assigned by the management team.
- Create board deck presentation from management team input and company data
- Track project timelines and ensure key deadlines are met.
Office & Resource Management:
- Maintain office supplies and manage executive office equipment needs.
- Handle expense reports, budget tracking, and reimbursements for the management team.
Confidentiality:
- Maintain a high level of discretion and confidentiality in handling sensitive business and personal information.
Team Support:
- Provide backup administrative support to other executives or departments when needed.
- Assist in onboarding new management team members and executives by providing administrative setup and support.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably supporting senior management.
- Excellent organizational and time-management skills.
- Proficiency in office software (e.g., Microsoft Office, Google Workspace).
- Strong communication and interpersonal skills.
- Ability to multitask and work under pressure in a fast-paced environment.
- High level of discretion, professionalism, and confidentiality.
- Experience with project management and event planning is a plus.
