Our client is hiring a results-driven Executive Assistant to join their high-performance work environment. Their ideal candidate has investor relations and/or corporate finance experience, can work independently and in a team, and is an excellent communicator. This candidate must also have excellent written communication and relationship-building skills. This position will report directly to the Managing Director of Investor Relations and the Managing Director of Communications and Public Affairs.
Primary Responsibilities
- Assist with scheduling of investor calls / meetings / follow up in a timely manner
- Arrange detailed travel plans, both domestic and international, to include meeting registration, hotel, and transportation needs, and ensure teammates have appropriate travel itinerary and/or documentation
- Investor Communication: Assist with drafting and disseminating communications to investors
- Event logistics: manage logistics for investor events, including Annual Partner Meeting, Annual Leadership Summit, LPAC meetings, employee and community outreach events
- Assist in the creation of investor presentations and press releases as needed
- Website management: assist with updates to the company website
- Partner with other departments on various projects and scheduling transactions
- Support client's E&P and assist with investor calls/meetings and inbound requests
- Social media: Manage posting updates and monitoring engagement
- Collaborate and coordinate with outside consultant (TeleStaff)
- Participate in weekly external marketing agency meetings and support brand development
- Manage company conference tracker and coordinate with other admins
- Manage and maintain the Investor Relations calendar
- Coordinate DDQ questionnaires and log all DDQs
- Office Support: Providing general administrative support, such as handling correspondence, managing files, and processing expenses
- Provide administrative support cross-functionally for collaboration opportunities and activities
- Support the company in maintaining a work environment that fosters learning, respect, open communication, collaboration, integration, and teamwork
Qualifications:
- Excellent organizational skills with strong attention to detail. Excellent written and verbal communication skills.
- Effective interpersonal and communication skills to establish and maintain positive working relationships across the organization.
- Dependable, complete assigned tasks, excellent follow-through. Ability to manage many tasks simultaneously and shift priorities quickly.
- Ability to perform detailed work independently and accurately with minimal direct supervision.
- Ability to work in a fast-paced, team-oriented, and small office environment.
- Must be skilled in Salesforce CRM and track investor interactions
- Computer literacy with strong proficiency in Microsoft Office applications – Outlook, Teams, Word, PowerPoint, Excel, and Adobe.
