Project Planner

Stelvio Group is seeking a highly organized and detail-oriented Project Planner to manage and maintain project schedules across multiple customer projects. This critical role ensures the successful delivery of projects within designated timeframes, while effectively balancing conflicting priorities.
The ideal candidate will collaborate closely with our clients Project Management Office (PMO), Engineering teams, and other key stakeholders to ensure project accuracy, provide detailed reporting, and support financial analyses.
Key Responsibilities:
- Project Scheduling:
- Create, maintain, and publish project schedules to the Project Server, ensuring tasks are attributed to named resources within 90 days of project commencement for multiple customer projects.
- Prioritize tasks effectively, especially when conflicting due dates occur, and suggest to management when it is appropriate to create a new project baseline due to significant events or changes.
- Task Code Management:
- Create task codes as needed and promptly communicate them to the project team, ensuring all relevant team members are updated in real time.
- Reporting and Monitoring:
- Prepare daily, weekly, and monthly project reports to support monitoring by various stakeholders, including PMO and the project team.
- Provide accurate and timely reports to management, highlighting key metrics, risks, and updates regarding project progress.
- Variance Analysis:
- Support PMO and Engineering with ad hoc analysis of variances between actual and planned hours, costs, and other key performance indicators.
- Ensure that PMO and Engineering teams have a clear and accurate understanding of the project's current status, and provide proactive insights into potential deviations.
- Financial Collaboration:
- Work with the accounting team to facilitate accurate monthly invoicing for customer projects, ensuring financial milestones are met.
- Assist the PMO in analyzing the project’s profit and loss (P&L) and cash flow (CF) performance to ensure financial alignment with project goals.
- Change Order Evaluation:
- Support and challenge PMO and project teams in the evaluation and implementation of change orders, ensuring changes are properly reflected in the project schedule, P&L, and cash flow analysis.
- Stakeholder Communication:
- Maintain clear and consistent communication with all levels of management, providing project updates, addressing concerns, and offering solutions when needed.
- Act as a liaison between project teams, management, and stakeholders to ensure smooth project execution.
Key Skills and Qualifications:
- Proven experience in project scheduling, preferably in a complex, multi-project environment.
- Strong ability to prioritize and manage multiple tasks with conflicting deadlines.
- Proficiency with project management tools (e.g., MS Project, Primavera, or similar) and Microsoft Office Suite.
- Excellent analytical skills to assess variances between planned and actual project performance.
- Strong understanding of P&L, cash flow, and invoicing processes.
- Ability to communicate effectively with all levels of the organization, including senior management and project teams.
- Detail-oriented with a strong commitment to accuracy and meeting deadlines.
- Ability to proactively address issues and recommend appropriate solutions.
Education:
- Bachelor’s degree in Project Management, Engineering, Business, or a related field.
- PMP certification is a plus, but not required.
