Summary: Support role with lots of variety!
Provide comprehensive administrative and project/deal support to the Public Finance team. The ability to maintain an in-depth knowledge of required processes and regulatory procedures. The ability to interface with clients and possess strong interpersonal communication skills.
Qualifications:
3+ years of Admin experience in a Financial firm (MUST BE A FINANCIAL SERVICES FIRM). Public Finance background helpful.
- Ability to work with computers and various software programs. Proficiency in Microsoft Excel, Power Point and Word
- Read and prioritize all incoming correspondence and email messages for the banking team
- Prepare expense reports
- Schedule meetings and conference calls
- Make travel arrangements;
- Strong attention to detail, efficient and accurate typing, proofreading, researching, filing and other general administrative skills to effectively execute normal daily functions of the position
- Ability to multi-task, prioritize and have strong organizational skills
- Ability to learn and maintain knowledge of and comply with FINRA, SEC and MSRB regulations regarding public finance business
- Ability to learn and comply with company and division operations, policies and procedures
- Strong communication (verbal & written)
- Ability to maintain client confidentiality
- Ability to work with minimal supervision either independently or as a team member, under strict time constraints and handle high-pressure situations
Duties:
- Schedule meetings and coordinate travel arrangements for team
- Submit banker expense reimbursement reports in Concur
- General correspondence
- Engagement letters, disclosures, invitations, etc.
- Database/file backfill
- Organize emails & schedules
- Coordinate Sponsorships, Conferences and Events
- Monitor inventory and order office supplies, presentation supplies and special orders
- Plan, order and coordinate holiday cards/client gifts
- Update and maintain deal list and Statement of Qualifications
- Assist with RFPs, Proposals (copying, assembling, binding)
- Special Projects – mailing to clients, monitor/record RSVPs to events, database updates
- Develop and track annual marketing schedule
- Work with team to develop and send marketing emails through JangoMail
- Plan and coordinate client events
-will be rolling out CRM for team, regulatory disclosures, engagement letters and BPA's.
