Paralegal position

RESPONSIBILITIES
- Assist in-house and outside counsel in all aspects of managing pre-suit claims.
- Assist legal team with due diligence and litigation management, including document collection and review, court docket searches, litigation hold processes and discovery, and due diligence research and review for corporate transactions or as and when requested
- Take active role in matter intake by identifying relevant witnesses and gathering necessary documents
- Research and collect appropriate job files and other information to respond to interrogatories, requests for admissions, and requests for production of documents.
- Review third-party subpoenas for legal sufficiency and assist in gathering documents and information to respond in a timely manner.
- Review settlement agreements and prepare correspondence.
- Draft written consents and other corporate documentation.
- Assist on due diligence matters.
- Review case budgets with attorneys and monitor budget against actual spend by matter
- Be responsible for implementing internal processes that result in improvements and efficiencies to litigation management and outside counsel management
- Initiate and manage litigation holds for formal demands, administrative agency charges and litigation
- Support the legal team in the management of contracts throughout their lifecycle, tracking contract deadlines and renewals, redlining and proofreading contracts, and managing contract execution and filing
- Handle day-to-day operations of contract management software, legal databases and document folders
- Draft, revise, help prepare and maintain various legal documents, including contracts, templates, waivers and releases, contract summaries, memos, reports, correspondence, presentations, and other ancillary documents
- Support attorneys with legal research
- Develop and handle detailed project schedules and work plans and provide reporting and updates on projects, programs, and progress
- Coordinate and manage requests and communications with external legal counsel and service providers, as needed
- Liaise between legal team and other departments, coordinating and fielding legal requests, communicating updates and requirements and providing contractual information in response to business inquiries
- Provide administrative and operation support including data entry and analysis, managing calendar for legal filings and deadlines, scheduling meetings, preparing legal communications and proofreading
- Identify opportunities for process improvements and implement best practices to enhance the efficiency and effectiveness of administrative processes within the legal department.
Administrative Duties:
- Assist with submission and tracking of various invoices.
- Handle notarization, apostilling, consularization, and other document certification procedures. Provide litigation support as needed including insurance notifications, legal holds, etc.
- Other duties as assigned and in accordance with evolving team needs and prior experience.
TECHNOLOGY
- Position will help develop a Legal Department technology roadmap and will lead current and future Legal technology initiatives - with eye toward creating and optimizing processes and practices to improve the effectiveness of the Legal Dept
QUALIFICATIONS
- 6+ yrs prior experience – in-house experience helpful
- Ability to review and understand accounting or financial information
- Ability to conduct detailed and thorough legal research
- Ability to proactively anticipate needs of and opportunities for CLO
- Ability to build and maintain business relationships and be calm and flexible under pressure and amidst changing priorities
- Intellectual curiosity and ability to think outside the box
- Advanced computer skills using Windows, Word, Excel, and PowerPoint
- Strong written and oral communication skills
- Adaptive to changing environments
- High attention to detail, strong organizational and multi-tasking skills, proactive, positive, strong follow-through, and highly professional
- Work independently and as part of a cross-functional team and be able to work in a fast-paced environment working under strict deadlines
- Experience with case management/e-billing software
- Ability to interact effectively and professionally with all levels of personnel, including attorneys, co-workers, management and support staff
- Ability to compile and analyze data and furnish information in report format, written correspondence, email, or verbally
- Ability to review, analyze and summarize information from legal documents and materials
- Ability to update dashboards and do analytics
- Ability to maintain confidentiality, and to exercise discretion and good judgment.
- Must deliver high quality work product and display ownership, having the ability to plan, organize and complete multiple related tasks and follow up and follow through.
