Job Title: Administrative Assistant
Pay: $23.00-$26.00/hr | Based on Experience
Duration: 3-month contract | Potential to Extend
Schedule: Monday – Friday // 40hrs/week
Location: Onsite | Beaverton, OR
The Administrative Assistant will provide on-site administrative support to 3 Senior Leaders and is vital to the department's overall efficiency.
Key Responsibilities:
- Provide General Support: Manage files, handle mail, arrange meetings, and assist callers.
- Calendar Management to include organizing and scheduling meetings
- Travel Management and detailed itineraries; ensuring travel arrangements follow company policies.
- Event management
- Coordinate with contacts for venue setup, catering, and materials.
- Prepare expense reports and purchase orders
- Review documents for grammar and clarity; address office operations questions.
- Update organizational charts and coordinate office moves.
- Manage Reception: Address inquiries and problems promptly and tactfully.
- Handle confidential information and act as the main contact for department info.
- Create high-quality presentations under tight deadlines.
- Design effective layouts and organize final reports.
- Maintain office supplies.
Qualifications:
- 5+ years of administrative experience supporting C-Level executives; preferably within a large organization
- Bachelor's degree required
- Proficient in MS Office (Word, Excel, and PowerPoint) and related software for expenses, travel and calendar management
- Strong oral and written communication skills
- Strong strategic thinking and problem-solving skills
- Professionalism in dealing with sensitive and confidential information and upholding strict confidentiality
- Ability to work in a dynamic, team-oriented, fast-paced environment while being proactive, flexible, and independent
- Time management and organization skills with meticulous attention to detail and accuracy
