A sophisticated and lovely UHNW Principal with a passion for philanthropy based in San Francisco is seeking a career Personal Assistant/Household Manager. Your ability to be proactive, meticulous, and trustworthy will ensure her day to day runs seamlessly. Her ideal candidate is extremely organized, tech savvy, thorough and discreet. This role will be responsible for full scheduling, calendar management, travel logistics and household tasks such as managing staff, overseeing home projects at multiple residences, event planning, etc..
***This is an onsite position in the city of San Francisco
Personal Assistant job responsibilities:
- Manage the Principal’s calendar and go over agenda for the week on Monday; also confirming all upcoming appointments the week before
- Proactively make changes to schedule when conflicts arise
- Organize, confirm, and schedule principal’s appointments
- Answer phones and relay messages to the correct people
- Manage and maintain database of contacts
- Supervise Principal’s personal e-mail and ensure timely communications and handling confidential information
- Consistently review Principal’s schedule and update them on changes to the schedule/calendar
- Effectively and kindly correspond with Principal and their family
- Manage personal travel arrangements such as: booking flights, hotel reservations, car service, and meeting locations
- Manage and make reservations for the Principal including dinner reservations, concert tickets, plays, and other recreational activities
- Run errands (prescriptions, dry cleaning etc.) perform research, assist with projects and organization, carry out miscellaneous requests
- Send thoughtful gifts for family / friend birthdays, help prepare for family holidays (Thanksgiving, Christmas etc.)
- Organize and manage packages and returns when necessary
- Be warm and gracious for all incoming house visitors
House Manager Job Responsibilities:
- Be a kind manager for staff including the chef, caretakers, and housekeepers
- Ensure household properly maintained and repairs happen swiftly and efficiently
- Provide direction to staff on what duties should be a priority for the day/week
- Manage vendors for large scale household projects: negotiating terms, confirm insurance, supervise work, ensure completion in a timely manner
- Monitor and approve timecards for staff
- Maintain current schedules of staff’s personal and sick time
- Manage and coordinate with Principal’s vendors to ensure smooth and timely deliveries of precious deliveries
- Organize and preserve all purchase orders for Principal
- Communicate and coordinate with family office to ensure precious items are insured
Requirements:
- Minimum 8 years’ experience as a Personal Assistant/Estate Manager for high-profile family
- Calm and supporting demeanor with an abundance of experience providing high-touch support to high-net-worth individuals
- Comfortable being available after hours and on weekends
- Accustomed to fast-paced, and deadline-oriented environments; works well under pressure and high stakes situations
- Proactive, organized, and enthusiastic go-getter who demonstrates unfaltering professionalism.
- Ability to prioritize, manage and delegate multiple responsibilities while utilizing high attention to detail
- Team player, but can work independently; can delegate responsibilities and prioritize most urgent needs
- Takes pride and ownership in their work and is driven
- Confidentiality and discretion are required
- Natural leader and ability to manage staff
- Excellent and clear verbal and written communication skills
