Responsibilities:
As a Human Resources (HR) Administrator, you will help us deliver positive innovations by delivering outstanding support to prospective employees, new hires, and the HR Team. Specifically, you will provide front line operational/clerical and administrative support in all areas of Human Resources, including Talent, operations, HRIS, and onboarding.
Essential Functions:
• Respond to incoming inquiries or requests via phone, email, and drop-ins.
• Greet and refer employees and visitors to the appropriate person and help transition candidates.
• Maintain a friendly and welcoming demeanor in all interactions.
• Data entry: PeopleSoft, iCIMS, Excel, and other HR-related systems.
• Assist Talent Acquisition (TA) Team with scheduling interviews:
• Set up virtual and onsite interviews, balancing candidate and interviewer availability.
• Update applicant tracking system (ATS) with candidate steps and notes.
• Engage travel and real estate agencies for nonlocal candidate onsite interviews.
• Manage expense reimbursement process for traveling candidates.
• Prepare, order, and distribute new employee swag.
• Assist TA Team with new hire onboarding responsibilities.
• File and/or scan personnel-related documents. Set up and close out files, schedule meetings, maintain conference room calendars, process employee appreciation awards.
• Assist with creating, designing, and updating documents.
• Maintain onboarding schedules.
• Obtain all needed receipts and signatures for reimbursements for candidate travel
• Receive, stamp, sort, and disseminate mail, documents, and packages
• All other duties as assigned.
Qualifications Required:
• Excellent communication skills (verbal, listening, and written), including the ability to interface
effectively with the public and employees at all levels up to executives.
• Strong discretion and adherence to confidentiality.
• Excellent written and verbal communication skills.
• Ability to provide excellent customer service.
• Highly detail-oriented, efficient, and organized.
• Ability to follow-up and follow through on a variety of tasks.
• Team player who is also able to work independently.
• Must have a professional appearance and demeanor.
• Working knowledge of human resource practices
• Ability to research and gather data related to human resource situations.
• Familiar with database systems and common HR applications.
• Strong computer skills (Microsoft Office Suite)
Education/Experience Required:
• High school diploma or equivalent.
• Minimum of 3 years of administrative experience.
Preferred:
• Bachelor's degree in human resource management, or related disciple from a regionally accredited
not-for-profit college or university.
• Experience in human resources, on-boarding or recruiting.
• Experience in a manufacturing, high-tech, or bio-tech environment.
