We are seeking a highly organized and proactive Real Estate Legal Administrative Assistant to support our dynamic and busy Real Estate practice. This role involves assisting a team of attorneys in a fast-paced legal environment, providing administrative and clerical support, and ensuring smooth day-to-day operations. The ideal candidate will be detail-oriented, able to manage multiple tasks efficiently, and possess strong communication skills.
Key Responsibilities of the Administrative Assistant:
- Provide comprehensive administrative support to attorneys in the Real Estate practice.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare, edit, and proofread legal documents, contracts, and correspondence related to real estate transactions.
- Organize and maintain physical and electronic files, ensuring accuracy and confidentiality.
- Assist in preparing closing binders and coordinating real estate closings.
- Manage client communications, ensuring timely follow-ups and responses.
- Handle billing and expense reports for the practice.
- Support the coordination of real estate filings, title searches, and document recording.
Qualifications of the Administrative Assistant:
- Bachelor's degree required
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- A growth mindset, natural curiosity and eagerness to learn
- Ability to handle sensitive and confidential information with discretion.
- Experience with legal billing systems is a plus, but not required.
- Familiarity with legal document management systems is preferred, but not required.
