We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our President and CEO. The ideal candidate will be a strategic partner skilled in managing high-level projects, prioritizing tasks, and facilitating efficient communication. This role requires discretion, strong attention to detail, and the ability to handle confidential information with integrity. Cross-cultural sensitivity is essential when interacting with our global EMO offices and partner agents.
Essential Duties & Responsibilities:
· Confidentiality: Handle sensitive information with the utmost confidentiality, ensuring compliance with company policies.
· Executive Support: Manage the President’s calendar, schedule in-person and Team meetings, and be considerate of global time differences; ensure preparation for appointments, conferences, and presentations.
· Communication Liaison: Act as the primary point of contact between the President and internal/external stakeholders. Respond to emails, phone calls, and other communications professionally and promptly.
· Travel Coordination: Organize and manage domestic and complex international travel arrangements, including flights, accommodations, transportation, and itineraries; assist with last-minute changes.
· Meetings and Events: Coordinate and prepare materials for meetings, presentations, and company events. Ensure meetings are well-organized and documentation is available for participants.
· Project Management: Assist with special projects, including research, reporting, and deadline follow-up. Provide support for team initiatives, ensuring timely completion of key tasks.
· Document Management: Draft, proofread, and manage various documents, including speeches, newsletters, reports, presentations, and correspondence. Maintain organized digital filing systems.
· Financial Support: Track and manage expenses, process invoices, and ensure proper budget handling and reporting.
· Office Administration: Interact with building management for lease, parking, maintenance, and conference room reservations; coordinate office equipment maintenance; maintain office supply inventory.

· Computer literate with strong knowledge of MS Office Suite, with strength in Excel, Outlook, and PowerPoint; familiarity with AI applications and other efficiency tools is a plus.
· Strong problem-solving skills and a proactive approach to tasks.
· Solid organizational, technological, and analytical skills with a passion for detail.
· Ability to generate error-free reports, charts, and graphs.
· Exceptional organization and time management abilities; adjusting priorities based on workload or executive direction.
· Knowledge of international logistics is a plus.
· Complete other duties or projects as assigned.
Qualifications:
· College degree or equivalent business experience.
· Prefer 3+ years of experience in high-level executive administrative assistance, preferably supporting C-suite executives.
· Must be able to travel occasionally, domestically and internationally.
· Candidates must be legally eligible to work in the US.
