Role Description:
This is a full-time on-site role for an Office Administrator at Aquila Engineering LLC in Houston, TX. The Office Administrator will be responsible for providing administrative assistance, communicating effectively with internal and external stakeholders, delivering exceptional customer service, and overseeing office administration tasks on a day-to-day basis. The ideal candidate is an energetic self-starter with the ability to be flexible and able to thrive in a fast-paced environment.
Key Responsibilities:
- Oversee administrative procedures and processes in the entire office area.
- Greet any scheduled visitors and escort appropriate personnel.
- Coordinate and arrange meetings, order lunches, reserve and prepare meeting rooms and take meeting notes.
- Order office supplies for employees and assist with inventory.
- Coordinates and schedules office cleaning and maintenance with building management.
- Assist President with scheduling meetings, booking travel arrangements, and overseeing daily calendar.
- Act as a change role model for contentiously striving to improve processes.
- Comply with all Aquila company polices and procedures.
- Perform other work related duties as assigned.
Qualifications:
- High School Diploma, GED, or associates degree.
- 1-3 years of general administration experience required, facilities coordination, and experience supporting executive personnel.
- Proficiency in Microsoft Office Suite and office management software.
- Monday software knowledge is a plus.
- Strong problem-solving skills, able to multi-task and pivot when needed.
- Excellent organizational skills and written skills.
- Ability to multitask and work in a fast-paced environment.
- Must be flexible and willing to work additional hours to complete special projects if need be.
