Our client is a global investment firm looking for an Executive Assistant to join their NYC office to support a multi-person team made up of Senior Executives, Managing Directors and Senior Vice Presidents. This role is for candidates that have supported multiple executives, are capable of working independently and collaboratively and have global travel, schedule and calendar coordination as there are many internal and external counterparts based globally that the team works closely with on a regular basis. This is an exciting role for individuals that thrive wearing multiple hats, have a proactive approach, and are easily adaptable and resourceful. This is a hybrid position, 4 days on-site and 1 remote, and traditionally from 9AM – 5PM EST, but must be flexible to work outside of standard hours when needed.
- The salary goes up to $115k base, OT eligible plus a discretionary bonus as well as medical and other benefits.
Responsibilities:
- Support the team of top Executives and Senior Managing Directors in their daily operations revolving around global business endeavors
- Manage complex and ever-changing calendars, schedules and global travel arrangements
- Prioritize daily agendas and correspondences
- Responsible to ensuring all meeting materials are always accessible and up to date
- Work with various departments throughout the firm
- Create expense reports, ad hoc projects, presentations and travel itineraries
- Manage mass amounts of confidential / sensitive information and documentation
- Always works with the utmost professionalism and personability
- Strategically coordinate professional and personal appointments, events and travels, ensuring all information is updated with details
- Responsive outside of working hours and as needed
- Creating highly detailed itineraries, meeting minutes, research notes, etc.
Required Qualifications:
- Prior experience supporting various professional levels in a fast-paced corporate environment
- Clear written and verbal communication
- Ability to be flexible and responsive outside of working hours
- Global travel coordination experience
- Forward-thinking and proactivity
- Works with the utmost confidentiality and discretion
- Experience and success planning and executing corporate events is a plus but not required
- Ability to work independently and collaboratively
- Proficient in Microsoft Office Suite, specifically Outlook, Excel, PowerPoint, and Word
