About the Role
Unified Vision is seeking a highly organized, proactive, and motivated Operations Associate to join our dynamic team. As a bicoastal company with offices in New York and San Francisco, we need someone who is excited about managing operations across multiple locations. This role is integral to ensuring our day-to-day operations run smoothly and the team is operating efficiently. You will report directly to the Chief of Staff and act as a mini-chief of staff, playing a critical role in supporting our growing team. You should be comfortable navigating the dynamic and often unpredictable nature of building early-stage companies and working with executive stakeholders. The ideal candidate has previously supported founders, partners, or entrepreneurs.
Key Responsibilities
Operations Management:
- Oversee Company Systems: Manage operational platforms like Rippling, maintain the company org chart, and drive recruiting initiatives.
- Process Improvement: Collaborate with the Chief of Staff to streamline operational processes and enhance efficiency.
- Policy Implementation: Assist in developing and implementing company policies and procedures.
- Employee Onboarding: Support the onboarding and offboarding processes to ensure a seamless experience for new and departing employees.
- Cross-Functional Coordination: Work closely with HR, finance, and other departments to ensure compliance and smooth operations.
Office Management:
- Day-to-Day Operations: Ensure the San Francisco and New York offices run efficiently, providing a productive environment for a team of approximately 10 people.
- Inventory Management: Oversee procurement and inventory of office supplies and equipment.
- Event Coordination: Organize and prepare the office for meetings with investors, advisors, and clients.
- Vendor Relations: Manage relationships with vendors and service providers to maintain office facilities.
Executive Support
- Scheduling: Assist the Chief of Staff and executive team with scheduling meetings, calls, and events.
- Meeting Preparation: Prepare agendas, document meeting minutes, and track follow-up actions.
- Confidentiality: Handle sensitive information with the highest level of discretion and professionalism.
- Communication Liaison: Act as a point of contact between executives and internal/external stakeholders to facilitate clear and effective communication.
Qualifications
- 2-4 years in operations, office management, or similar roles, preferably within tech startups, incubators, or venture capital firms.
- Exceptional ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent verbal and written communication abilities.
- Self-motivated with a strong attention to detail and a problem-solving mindset.
- Familiarity with operational tools and software such as Rippling, Microsoft Office Suite, Google Workspace, and scheduling platforms.
- Based in San Francisco or New York and willing to work in the office 5 days a week.
