Job Description: Executive Assistant/ Front Desk Associate
S G Long Financial is seeking an Executive Assistant/ Front Desk Associate to oversee and assist with the flow of business and office operations. This position is the first point of contact for all client interaction and must truly enjoy providing assistance to both clients and staff alike. The successful candidate will possess strong organizational and relationship skills and must be an effective communicator and problem solver. Job Responsibilities for Executive Assistant/ Front Desk Associate
- Perform Front Office duties: greet visitors, vendors and answer and direct phone calls
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly; seek and provide knowledgeable and effective solutions for issues
- Manage office supplies inventory and place orders as necessary
- Manage physical facility maintenance and maintain communication with maintenance subcontractors regarding regularly scheduled maintenance as well as non-recurring issues.
- Receive and sort incoming mail and deliveries; manage outgoing mail; perform daily deposits
- Process new account paperwork and implement procedures for efficient tracking and follow-up of items related to client account processing and daily maintenance. This includes money transmittals, ACH transactions, ACAT transfers etc.
- Assist with office layout planning and office moves
- Attend sales meetings to update advisors on operational changes or other pertinent information that relates to their day to day business flow.
- Identify opportunities for process and office management improvements, and design and implement new systems; communicate regularly with management
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
- Manage Office Events: includes managing mailing lists, creating and mailing invitations (electronic and paper mail); procuring suitable venues and catering services, ensuring adequate IT capabilities, organizing marketing supplies, directing staff on assigned responsibilities etc.
- Marketing support duties including managing social media posts, website maintenance and analytics
- Other duties as needed to ensure the continuous and successful operation of the office
Qualifications for Front Desk Receptionist
- Bachelor's degree in business administration, communications, or a related field preferred
- 2-5 years of work experience in an administrative/office management role
- Must have exceptional attention to detail
- Strong organizational and time management skills, and ability to prioritize and handle competing demands for time
- Must be a self-starter and driven
- Excellent communication and interpersonal skills
- Strong problem-solving skills and analytical abilities
- Must be proficient or able to learn Microsoft Office, Outlook, Zoom, Teams, Redtail, Constant Contact and able to quickly learn industry specific programs such as RBC’s Nexus and Schwab Advisor Center.
