Job Summary:
Support the CEO, President, Sales Planning, Equipment Manager, Service Manager, Parts Manager, and GMs in gathering, organizing, and tracking data to generate reports, presentations, and special projects.
Furthermore, provide crucial support to the highest-level executives of our company. You will be responsible for coordinating and managing their daily activities, ensuring effective time management, and providing exceptional executive assistance.
Essential Responsibilities:
1. Work closely with the President, Product Mgrs (Product, Service & Parts) & Regional GMs in Latin America to execute the Applied vision.
2. Work with Sales (Equipment, Service & Parts) to track annual goals and expansion plans for current channel partners. Additionally, understand the local market and players.
3. Work with Market data to estimate the Market Share of each region.
4. Collect, organize, and assemble data for reports, presentations, and special projects.

5. Consistently manage multiple projects and tasks.
6. Efficiently manage the complex schedules of senior executives, including scheduling and coordinating meetings, appointments, and events.
7. Assist in preparing reports, presentations, and other documents for senior executives. Research and gather the necessary information to support their decision-making processes.
8. Coordinate domestic and international travel arrangements for senior executives, including flights, accommodations, and transportation. Ensure all travel arrangements are well-organized and meet their requirements.
9. Maintain strict confidentiality in handling sensitive information, both internally and externally. Exercise discretion and professionalism in all interactions and communications.
10. Ensure a seamless experience for guests visiting the office. Greet and assist guests, coordinate meeting logistics, and provide any necessary support to ensure their comfort and satisfaction.
11. Collaborate with various departments within the organization to ensure seamless communication and coordination between senior executives and other teams.
12. Prepare meeting agendas, take minutes, and distribute relevant documents. Follow up on action items and ensure that deadlines are met.
13. Approves expense reports in Concur for some staff members as indicated by CEO/President.
14. Assist senior executives with special projects, research, and initiatives as needed. Provide administrative support for strategic initiatives and cross-functional activities.
Candidate Profile:
Education: College degree in Accounting or Engineering
Experience: 3- 4 years of HVAC market experience, preferably in Latin America, and high-level administrative support and data analysis
Language Ability: English and Spanish proficient
Mathematical Ability: Ability to manage databases, gather information, analyze it, and create reports and executive presentations
Reasoning Ability: Use intuition and experience to complement data analysis
Computer Skills: Proficient in advanced Excel, SalesForce, SAP Powerpoint
