About the Role - What You'll be Doing
As a Business Operations Associate, you’ll be an integral part of our day-to-day operations, supporting both the management team run the company as well as helping with client service functions. From ensuring the business operations runs smoothly, to ensuring the team is always ready to shine with clients, and some help to our client services team to help always deliver a memorable client experience.
Administrative, Operational and Office Support
- Client Interaction & Office Management: Greet clients, manage office supplies, handle mail, and ensure the office is ready for meetings.
- Document Management: Scan and file client and corporate documents, maintain organization and documentation of vendor and client files.
- Financial/Bookkeeping Support: Provide assistance to management team in handling all financial and bookkeeping operations, vendor payments, invoices, and documentation.
- Phone & Calendar Support: Answer and screen phone calls, assist advisors with scheduling, and manage CRM entries.
- Technology Assistance: Serve as the point person for the Zoom VOIP system and act as the staff administrator for the Salesforce CRM, including troubleshooting and training.
- Assistant to Management and Leadership Team: Assist with travel arrangements, calendaring, and any special projects as needed.
- Human Resources Support: Provide assistance to management team in maintaining our human capital program, coordinate activities needed with PEO HR system, plan company team events, and maintaining other HR documents up to date.
Marketing and Communications Support
- Document & Report Coordination: Prepare and deliver regulatory documents, client reports, and billing, both physically and electronically.
- Marketing Support: Assist the marketing team with various tasks and help with preparing the quarterly newsletter, including managing mailing lists and ensuring compliance. In addition, support with any business development efforts both electronically or in person, as needed.
- Client Communication: Support client service activities by preparing performance reports, sending email blasts, and maintaining PR materials and regulatory documents on the website.
- Client Relations: Manage client “ambassador” activities such as sending birthday or milestone gifts, condolence cards, and help coordinating client events.
What You'll Bring to the Team
- Minimum Education: You'll have a high school diploma and at least 3 years of professional work experience (preferably in a professional services organization)
- Approachable & Compassionate: You listen with patience and support people from all backgrounds.
- Great at Prioritizing: You focus on what’s important, cutting through distractions to get things done.
- Tech-Savvy: You’re skilled in Microsoft Office, CRM software (Salesforce is a plus), and can quickly learn new technologies.
- Strong Communicator: You excel at clear and concise communication, both verbally and in writing.
- Detail-Oriented: You deliver high-quality, error-free work with strong organizational skills.
- Adaptable & Proactive: You thrive in a dynamic environment, manage multiple tasks, and are eager to learn and contribute.
- Confidentiality Expert: You maintain the highest level of discretion with sensitive information.
