We are seeking an experienced and passionate Part-Time Legal Assistant to join the team in our Hauppauge office. The Legal Assistant will play a pivotal role in keeping the office functioning efficiently, from coordinating meetings to maintaining complete and accurate files. This person will build collaborative working relationships with our lawyers, Court personnel, outside Counsel, and earn the trust of our clients.
Schedule: Monday-Thursday 9:00am-3:00pm (flexible days/hours for the right candidate).
Responsibilities
- Communicate with clients in person, over the phone, and via email
- Draft, proofread, and file legal documents, such as motions and correspondence
- Perform administrative duties, such as maintaining lawyers’ calendars, scheduling appointments, and preparing paperwork
- Communicate with clients to schedule meetings and court appearances
- Serve as a liaison between Counsel and clients to ensure a positive experience
- Create and maintain case files
- Screen, direct, and prioritize incoming calls and emails to lawyers
- Manage client billing by sending out bills, answering inquiries, and resolving billing issues
- Assemble and file documents with various Courts
- Perform legal and background research when requested
- Maintain confidentiality and adhere to strict ethical standards
- Other job responsibilities as needed
Qualifications
- Associate's degree in relevant studies, or a Bachelor's degree preferred
- 1-3 years of experience as an administrative assistant (preferably in a law firm), legal assistant, legal secretary, or paralegal
- Experience working with multiple lawyers simultaneously (preferred)
- Ability to multi-task and work in a fast-paced environment
- Strong knowledge of Microsoft Office, including Word, Excel, and Outlook
- Familiarity with MyCase & NYSCEF electronic filing preferred
- Excellent organization and communication skills with the ability to work effectively with diverse clients and staff members
