Red Mountain Group, Inc. is looking for an enthusiastic & curious Leasing Coordinator to join our active leasing team in our Santa Ana, CA office. Reporting to one of our Senior VP’s of Leasing, our next Leasing Coordinator will not only provide administrative support and maintain lease files, but also coordinate meetings & travel and assist with preparation of marketing materials and site plans. A strong attention to detail and prior administrative experience will foster success in this role. As well as experience with a real estate firm.
Responsibilities:
- Provide general administrative and office support to the leasing department
- Maintain leasing reports, presentations and salesforce tracking database
- Prepare and maintain all leasing files in accordance with internal company procedures
- Maintain leasing merchandising plans
- Scheduling and preparing materials for meetings and conferences, including Meeting Books, Market Survey Books, and Current Leasing Plans
- Maintaining calendar and scheduling meetings, calls, and market tours with respective listing brokers and/or tenants via phone and Outlook calendar invites
- Gather market and demographic data using CoStar, LoopNet, Regis, and Yardi
- Assist with updating electronic property listings and ordering leasing signs for various properties
- Answer leasing inquiries and sending initial marketing packets to brokers and tenants via email
- Collecting and processing financial packages and credit reports
- Arrange travel and schedule meetings for business trips and business conferences
- Prepare expense reports, and reconcile all credit card charges
- Perform special projects as required
- Provide backup coverage for other admins, when necessary
- Assist in the creation and/or editing of presentation materials including flyers, leasing proposals, and email blasts, as well as redlining of various documents
- Proofread and correct spelling, grammatical, and layout errors
- Travel 1-2 times per year for industry conferences
Education & Skills:
- Minimum 3-5 years administrative support experience within a real estate firm
- Proficient using Microsoft Office Suite (Outlook, Excel, PowerPoint, Word), and Adobe (Pro and Illustrator)
- Experience using Salesforce
- Must be detail oriented, and have strong proofreading and organizational skills
- Ability to maintain a high standard of work in a fast-paced environment
- Ability to cooperate, collaborate, and communicate effectively with tenants, brokers, vendors, and all levels of staff and management
- Must carry a positive demeanor while able to manage multiple projects
- Ability to exercise discretion and maintain confidentiality
