Dan Newlin Injury Attorneys is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Chief Operating Officer (COO). The ideal candidate will have at least 3 years of experience in a similar role, preferably within a legal or professional services environment. This role requires a high level of discretion, professionalism, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Administrative Support: Provide high-level administrative support to the COO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication Management: Handle all forms of communication on behalf of the COO, including emails, phone calls, and correspondence. Draft and edit documents, presentations, and reports as needed.
- Project Coordination: Assist the COO in managing various projects by tracking deadlines, organizing materials, and coordinating with internal and external stakeholders.
- Meeting Preparation: Prepare agendas, materials, and presentations for meetings.
- Document Management: Maintain and organize files, documents, and records, ensuring they are easily accessible and up-to-date.
- Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.
- Relationship Management: Build and maintain strong professional relationships.
- Problem Solving: Proactively identify issues and provide solutions to ensure the smooth operation of the COO's office.
Qualifications:
- Experience: Minimum of 3 years of experience as an Executive Assistant, preferably in a law firm or professional services environment.
- Education: Bachelor’s degree in a related field is preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Communication Skills: Excellent verbal and written communication skills.
- Organizational Skills: Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Attention to Detail: Meticulous attention to detail and accuracy.
