Our client is seeking a highly organized and proactive Executive Assistant to support its Executive Leadership Team (ELT) in a fast-paced, dynamic environment. This individual will provide essential administrative support, ensuring smooth and efficient operations across the organization. The ideal candidate will be comfortable wearing many hats, multitasking, and meeting the diverse administrative needs across the company. Responsibilities include managing complex schedules, preparing reports, coordinating meetings and events, arranging travel, and serving as a liaison between executive management and staff—all while maintaining professionalism, confidentiality, and seamless communication. This role demands strong communication skills, exceptional attention to detail, and the ability to anticipate and address the needs of the leadership team in real-time. This motivated professional will make a significant impact by enabling the ELT to meet strategic goals while further developing their administrative expertise.
- Salary: $75,000 – $90,000
Responsibilities:
- Serve as a key partner to the CEO and ELT, managing their schedules, appointments, travel arrangements, and meetings with a focus on optimizing time and priorities
- Take ownership of a broad range of tasks, from preparing and editing high-level correspondence and presentations to coordinating company-wide communications, reflecting flexibility and adaptability
- Spearhead the management and maintenance of the company website and digital communications, collaborating with various vendors to ensure content aligns with strategic initiatives
- Act as the primary point of contact for internal and external communications, seamlessly managing relationships with stakeholders across all levels
- Navigate the complexities of meeting logistics, from preparing agendas to tracking and following up on action items to enable the leadership team to stay focused on key deliverables
- Oversee the organization of physical and digital filing systems, ensuring information is accessible, well-organized, and secure
- Lead special administrative projects by conducting research, compiling data, and presenting actionable insights to support decision-making
- Handle confidential information with the utmost discretion and professionalism
- Be a problem-solver, working cross-functionally to address emerging challenges and streamline processes
Required Qualifications:
- Proven experience as an Executive Assistant supporting a leadership team or at least 5 years of experience in a fast paced, multi-faceted administrative role, ideally within a start-up or high-growth environment
- Strong organizational and time management skills, with an innate ability to juggle priorities and adapt to shifting needs
- Excellent written and verbal communication skills, with the ability to interface professionally and confidently with stakeholders
- Proficiency in Microsoft Office Suite and a willingness to quickly learn new tools and software
- Demonstrated ability to work independently and collaborate across teams, balancing autonomy with a team-first mentality
- Bachelor’s degree or equivalent experience strongly preferred
- A proactive problem-solver who enjoys taking initiative and finding creative solutions.
- Emotional intelligence, professionalism, and the ability to navigate relationships at all levels
- Capable of building strong relationships with both internal teams and external stakeholders
- Highly collaborative, fostering a sense of teamwork and unity across departments
