We currently have an excellent full-time opportunity for an experienced Executive Assistant who can multi-task in a deadline-driven environment and support our CHRO in the Human Resources Department.
In addition, you will:
- Perform varied and complex typing tasks, including typing all confidential material. Maintains strict confidentiality of sensitive material and information. Complete all typing assignments accurately; regularly proof final copies to ensure they are letter-perfect and in an attractive and easy-to-read format.
- Compose routine correspondence for division.
- Schedule meetings and appointments. Maintain and update supervisor's daily calendar; as appropriate, schedule patient appointments for physicians; ensure smooth flow of patients through the office.
- Arrange meetings and conferences (e.g. schedule speakers and arrange to have them paid, book rooms, make catering arrangements).
- Take and transcribe minutes at departmental and other meetings as required.
- Open and route incoming mail; Distribute correspondence and other materials to department staff.
- Answer telephones, route callers, take messages and provide routine information to callers; communicate effectively with personnel and other departments as necessary.
- Maintain employee attendance records (including vacation time, and sick days); process time cards and sign-in sheets for department employees.
- Maintain adequate inventory of supplies in the office, reordering as necessary and distributing supplies to appropriate areas of the department.
- Prepare all purchase orders and check requests to purchase merchandise and office supplies as needed; receive merchandise and check items against original requisition for accuracy; prepare check requests to pay vendors and maintain department records.
- Set up and maintain a departmental filing system and patient record files.
- Maintain established departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards.
- Thoroughly research subject matter for a variety of administrative reports, statements and rosters; information included is accurate and relevant to the topic and is gathered on a timely basis; meet deadlines.
- Maintain required databases and spreadsheets; enter data accurately and in a timely manner and produce required reports as required.
We require:
- High School graduation or equivalent; 1-2 years of college preferred
- 2-3 years of executive/secretarial experience
- Healthcare or Paralegal experience preferred
- Medical Terminology
- Shorthand, fast longhand or ability to transcribe from Dictaphone
- MS Office proficiency
- Good interpersonal and English verbal/written communication skills
