Position: Administrative Assistant (Part-Time)
Contract length: 2 months
Pay Rate: $25 per hour
Hours: 20-25 hours per week
Location: 100% Onsite
Summary:
Under the supervision of the Academic Manager, the Administrative Assistant will provide support in the coordination of various administrative tasks for full-time, adjunct, and affiliated faculty members. This role includes managing travel expense reports, processing reimbursements, scheduling, and supporting committees. The position also involves event coordination and acting as a point of contact for event-related queries and expense tracking.
Responsibilities:
- Coordinate administrative tasks for faculty, including travel expense reporting and reimbursements.
- Provide calendaring support for department leadership, including Chairs and Center Directors.
- Assist with administrative support for committees (e.g., Curriculum, Doctoral Exam, Seminar/Social) by taking minutes, circulating follow-up materials, and managing logistics.
- Organize core-sponsored events, secure resources, and handle logistics such as venue booking, catering, and event promotion.
- Complete post-event duties such as clean-up and transaction reconciliation.
- Support admissions processes as needed.
Required Skills & Qualifications:
- Experience: 2-3 years of relevant administrative experience.
- Education: High school diploma required; associate or bachelor's degree preferred.
- Skills:
- Must-have: Calendar management, verbal and written communication, multitasking.
- Nice-to-have: Event coordination, minute-taking, expense reimbursement, project coordination.
- Technical Proficiency: Microsoft Office Suite is required. Experience with Workday and Google Suite is a plus.
