POSITION OVERVIEW
The International Myeloma Foundation is seeking a Manager of Prospect Management and Database Administration to oversee and advance the donor Prospect Management and Database Administration programs. This position reports to the Vice President of Development and serves as a strategic and tactical partner to the organization’s philanthropy verticals, enhancing fundraising through the strategic development of donor portfolios and the precise identification and qualification of prospective donors. This role demands a leader who can seamlessly blend strategic oversight with practical application, ensuring that all prospect management and research activities robustly support the IMF’s fundraising objectives and mission.
The position is essential to enhancing the effectiveness of our fundraising efforts through meticulous research on prospects, strategic management of prospects and moves management, generating segmentized and targeted lists for various direct mail campaigns, Development events, and maintaining Salesforce hygiene as it relates to prospect and donor records. Additionally, the role works closely with frontline fundraisers to ensure individual portfolio hygiene and provides the development team with a full range of comprehensive data analytics support to achieve the organization’s fundraising objectives.
The position requires superb analytical skills and must have a passion for numbers and data. Must be responsive to departmental and organizational needs in a timely manner with a result driven approach and have a proactive workstyle, and growth mindset. The successful candidate will be focused and goal-oriented with a high level of initiative, energy, intellectual curiosity and interest in the field of development. Also important are strong communication skills and a demonstrated ability to interact effectively with key internal staff and other stakeholders, both by phone and in writing. A strong understanding of the importance of serving the internal customer is essential, ensuring that collaboration and support for internal teams are prioritized as part of the role.
ESSENTIAL RESPONSIBILITIES
Primary responsibilities include, but are not limited to:
- Research and Resource Development: Build and maintain a comprehensive prospect management and research strategy focused on pivotal data to drive growth. Evaluate and develop a broad suite of research resources and manage vendor relationships to meet the evolving research needs.
- Donor pool management and expansion: Play a key role in refining the major gift donor pool, managing the processes, data flows, and reporting essential for effective prospect management.
- Strategic Leadership and Integration: Collaborate with various philanthropy verticals to promote integrated, holistic donor engagement experiences, aligning efforts across the organization to optimize donor relationships and contributions.
- Information and Monitoring Initiative: Access and anticipate the need for information, monitoring and reporting. Initiate activities and collaborate on engagement strategies for prospects. Set standards for information organization, storage, maintenance, and retrieval in donor database.
- Trends and Analysis: Monitor and communicate current trends in fundraising, philanthropy and business. Analyze, evaluate and disseminate information critical to securing major gifts. Lead data mining and modeling initiatives to support prospect identification, segmentation and management.
- Training and Support: Train staff with the methodology of prospect management within the constituent database to ensure current and accurately coded prospects. Establish guidelines, and policies for the ethical management of all donor and prospect information.
- Relationship mapping: Identify prospects’ through relationship mapping to facilitate organizational engagement. Serve as a research resource for the Development team to nominate prospects for various engagement opportunities.
- Conduct quarterly prospect reviews and portfolio analysis with frontline fundraisers. Actively participate in the Development Operations teams to ensure the achievement of overall goals.
- Review proposals and gift agreements in advance of donor solicitation and ensure accurate filing on donor records in Salesforce by guiding and educating Development officers
- Liaise with the finance department to assure accuracy and compliance, including adherence to IMF Gift Acceptance Policies
- Manage yearly contributions audit process in partnership with Finance
- Design and prepare specialized financial reports regarding fundraising progress for IMF’s Board of Directors and Executive Leadership team
- Design solicitation (pipeline report) and pledge tracking reports for development officers
- Develop Key Performance Indicator (KPI) dashboards for financial and non-financial department goals
- Develop reports to track response rates for flagship campaigns and evaluate performance on a monthly, quarterly and annual basis
- Join the VP, Development for quarterly reporting meetings with CFO, and program leads.
- Liaise with Salesforce Administrator to ensure smooth daily operation of donor database
- Based on the department’s needs, design enhancements to the donor database through the creation of new fields, automation, and improved data architecture
- Ensure business rules and procedures are adhered to, as related to gift processing and record creation
- Creating documentation and guides in partnership with Salesforce Administrator and VP, Development
- Advise on technology needs and improvements
- Assist with additional projects or collaborations that may arise
- Demonstrated sincere commitment to the foundation’s mission
SKILLS / ABILITIES REQUIRED
- Excellent written, verbal and interpersonal communications skills to interact effectively and diplomatically with donors, staff, and senior leadership.
- Demonstrate strong problem-solving skills, resourcefulness, curiosity, openness to learning and flexibility.
- Detail oriented with the ability to plan, organize and work on multiple projects and report to multiple people simultaneously; make effective timely decisions and meet deadlines under general guidance and supervision in a dynamic and ever-changing environment.
- Affinity for technology and computers and understanding of exporting and analyzing data, list generation/review and mail merges with ability and eagerness to quickly learn software and systems.
- Highly proficient with fundraising software and database platforms, experience using Salesforce preferred.
- Advanced knowledge of Microsoft Office products including Word, Excel, PowerPoint, and Outlook.
- Ability to work occasional evenings and weekends for events and meetings upon request
- Must be able to pass a background check

EDUCATION/ EXPERIENCE
AS/AA required; Bachelor’s Degree in a relevant field of study preferred
Experience in fundraising reporting, database inquiries
At least five (5) years of direct experience working in the areas of data management and non-profit development.
