Summary:
An operations specialist is to ensure a company's processes run smoothly and efficiently. They may perform a variety of tasks, including: Analyzing operations, Managing day-to-day tasks, Creating procedures, Communicating and coordinating with employees, vendors, and other teams.
Responsibilities:
- Monitor day-to-day operations, report on performance, and recommend actionable improvements when necessary
- Prepare and process shipping documentation, and manages the shipment and receipt of all products, materials, and supplies.
- Collaborates and communicates with logistics technicians, customer service representatives, service providers, and others involved in the shipment and receipt of products.
- Tracks, traces, and updates the status of incoming and outgoing shipments.
- Communicate and coordinate with employees (including executive operations team) and vendors
- Assist the manager in developing, planning, and coordinating operational activities
- Create and process orders in a timely manner, processing requests for rush orders, and reviewing pending orders and customer requests to ensure customer satisfaction.
- Input orders, ensuring they are processed according to customer requirements, and ensuring all orders are accurate and delivered on time.
- Perform data entry tasks and maintain an organized and accessible filing system.
- Handling administrative duties for the company and its executives and management teams.
- Reporting any unusual activity to your supervisors.
- Manage document accuracy. requires complex knowledge of customers, carriers, and procedures.
- Maintaining records and performing data analysis
Requirements:
- Associate degree in a related field
- Bilingual English and Japanese (English: Business level or higher, Japanese: Conversational or higher)
- One year freight forwarding(Import/Export) related experience
- Excellent verbal and written communication skills and problem-solving skills
- Organizational skills, including time management
- Demonstrated ability to adjust to new environments and handle changing priorities effectively.
- Two or more years of experience in an operational or similar role preferred
- Proficiency with Microsoft Excel and other productivity applications and platforms
This position requires full on-site attendance during the training period, with the possibility of hybrid work afterward.
