Job Description
Role Overview
This position supports a senior executive by managing their schedule, handling correspondence, preparing presentations and reports, and performing a range of administrative duties as needed.
Note: This role is Overtime Eligible
Key Responsibilities
- Manage the calendars of senior executives, ensuring prompt responses to meeting requests and invitations.
- Coordinate and organize travel arrangements, including flights, accommodations, and transportation, ensuring seamless travel for the executive.
- Anticipate the needs of the senior executive and prioritize tasks for timely completion.
- Handle various administrative tasks, such as processing expenses, maintaining filing systems, ordering office supplies, managing leave records, and updating distribution lists and organizational management tasks.
- Organize and facilitate meetings for senior executives.

- Take responsibility for the operational outcomes of the team’s activities and processes.
- Appropriately escalate any breaches of policies or procedures.
- Implement and manage new policies and procedures aimed at mitigating risks.
- Offer advice and influence decision-making in your area of expertise.
- Take ownership of managing risks and strengthening controls within your responsibilities, ensuring compliance with relevant rules and regulations.
- Develop and maintain an understanding of how your role integrates with the broader function and the organization’s products, services, and processes.
- Make informed decisions based on detailed analysis and technical expertise.
- Resolve problems by applying appropriate solutions, guided by precedents.
- Communicate complex or sensitive information to team members and stakeholders.
- Act as a contact point for stakeholders outside the immediate function, building a network of contacts both within and outside the organization.
One of our clients is seeking a motivated and experienced professional for the role of Global Markets Executive Assistant. This individual will be responsible for managing cost close-out projects, resolving outstanding issues, and ensuring that all cost commitments are handled promptly.
This is an on-site position, requiring five days a week in the office.
Key critical skills for success in this role include risk and controls management, business strategy, and digital and technology proficiency, as well as experience in fast-paced environments. The ability to embed new policies and procedures is also essential.
