Office Manager
We are seeking an enthusiastic and reliable Office Manager to oversee the smooth functioning of our Redwood City (RWC) office. As the Office Manager, you will be responsible for managing front office reception, office administration, and vendor coordination, ensuring that PubMatic’s office operations run seamlessly. You will play a key role in delivering a first impression of PubMatic to visitors and guests, conveying our friendly culture and our commitment to putting customers first.
The ideal candidate is self-motivated, flexible, and able to manage a diverse set of responsibilities, all while working in a fast-paced, exciting environment. You will have the opportunity to drive office culture, support employee engagement activities, and partner with local HR to maintain a productive and welcoming workspace.
Responsibilities:
- Guest Reception: Pre-register all guests with building management, greet visitors, and ensure a seamless check-in experience.
- Office Coordination: Manage the reception area, conference rooms, and corresponding calendars to ensure an organized and efficient office environment.
- Vendor Management: Oversee vendor relationships, contracts, and service requests, ensuring alignment with the office budget.
- Employee Onboarding/Offboarding: Coordinate the setup and breakdown of employee workstations, including equipment allocation and space preparation.
- Mail Management: Handle incoming and outgoing mail, including UPS, USPS, and FedEx shipments.
- Call Management: Answer and direct incoming calls to the appropriate team members or sales team.
- Provisions and Pantry Management: Process weekly provision orders, restock pantry items, and maintain the cleanliness and organization of kitchen areas.
- Space Management: Coordinate repairs, space improvements, and cleanliness, maintaining communication with janitorial staff to ensure a clean, functional workspace.
- Catering and Event Coordination: Arrange catering for in-office events, corporate lunches, and team meetings, while helping to organize office events, celebrations, and employee engagement activities.
- Travel Accommodations: Book accommodations for visiting colleagues and establish relationships with local hotels to secure corporate rates.
- Expense Reporting: Manage monthly expense reporting for the corporate credit card.
- Ad Hoc Projects: Support additional projects as needed.
Qualifications:
- Bachelor’s degree preferred.
- Minimum of 4 years of office management experience.
- Strong problem-solving skills and a creative mindset, always looking for ways to improve processes.
- High level of maturity, honesty, trust, and integrity, with a focus on cultivating these values in others.
- Strong analytical and organizational skills, with the ability to manage time effectively in a fast-paced environment.

Compensation and Benefits:
Base Compensation Range: $70,000 to $90,000
In accordance with applicable law, the above range provided is PubMatic’s reasonable estimate of the cash compensation for this role. The actual amount may vary, based on non-discriminatory factors such as location, experience, knowledge, skills, and abilities. PubMatic also offers a competitive benefits package.
