JOB SUMMARY:
The Resource Coordinator (RC) assists the day-to-day efforts of the Resource Management (RM) team by running reports, handling freelance requests, maintaining organization charts, and providing key administrative support. The RC partners closely with cross-functional teams such as finance, talent acquisition, project management, human resources, among others. The RC coordinates a variety of operational tasks while beginning to understand agency departments, what each of the departments do, and how they all work together.
ESSENTIAL FUNCTIONS:
Freelance Resources
- Coordinates onboarding, offboarding, timesheets, and all other activities for the entire life cycle of freelancers.
Cross Functional Collaboration
- Begins to form relationships with various departments to support resource management efforts.
Administration
- Maintains a timely, detail oriented and accurate approach to administrative tasks.
JOB DUTIES/RESPONSIBILITIES:
- Compiles availability of resources for assigned departments and tracks requests to cover workload increases, new business pitches, time off coverage, leaves.
- Assists with running regular reporting for the department such as admin time review, utilization, freelance projections.
- Owns the freelance process including request intake, coordination with Talent Acquisition (TA) and Human Resources (HR) for on/off-boarding activities in Avature, acts as point of contact freelance questions and timesheet compliance.
- Works with department leads and hiring managers to ensure freelancers have a positive experience from onboarding through the end of their assignments.
- Ensures freelancer timesheets are entered and approved.
- Works closely with Finance to ensure invoices are processed in a timely manner.
- Assists with maintaining department systems, documents, and tools.
- Assists with scheduling regular status meetings with key stakeholders within the agency including agendas and recaps.
- Routes and follows up on ad hoc requests from agencies within network.
- Assists in scoping activities by helping track down information needed to finalize scopes.
- Exhibits understanding of advertising staffing structure, project scoping, and flow.
- Communicates with team members regularly regarding activity, issues, and solutions.
- Works on multiple tasks simultaneously.
- Demonstrates understanding of the Vantage/billing process and importance of timely recording of hours.
- Maintains department organizational chart and other process documents as needed.
- Completes own timesheets, expenses, and all other administrative duties accurately and on a timely basis.
EDUCATION:
- Bachelor's degree Marketing, Advertising, Communications or related field (Preferred)
LICENSES AND CERTIFICATIONS:
EXPERIENCE:
- 0+ Years Resourcing, Project Management, Operations, Business, Talent Acquisition, or related fields. (Preferred)
KNOWLEDGE, SKILLS, & ABILITIES:
Software:
- Basic knowledge of Word, PPT, Excel, Outlook, and Teams (required)
- Basic knowledge of PM and resourcing tools a plus but not (required)

SALARY:
- $47,000 to $60,000 Annually
