Job Summary: A Legal Assistant performs a variety of administrative and secretarial duties to support three – four attorneys. They will maintain positive contact with attorneys, support staff and clients, and observe confidentiality of firm and client matters.
Essential Duties and Responsibilities:
- Prepare correspondence, memoranda, and other legal documents from written or oral drafts; drafts standard correspondence, and other documents.
- Opens new files, and maintains all client and general files. Conducts periodic review for possible storage or older files; prepares files to be closed.
- Input attorney time into firm billing software; proof billing sheets; review and edit bills.- Maintain attorney calendars, dockets, and contacts as necessary.
- Maintain good relations with clients; observes confidentiality of attorney-client relationship.
- Assist in preparation of case for trial or administrative hearing.
- Proofread and format all outgoing documents according to Robbins Schwartz standard documents.- Perform all administrative duties needed by attorneys.
- Assist other attorneys with overflow work and in another secretary's absence.
- Be present in the office regularly and adhere to normal office hours with the exception of holidays and allotted paid time off.Knowledge, Skills, and Abilities Required:
- Excellent written and verbal communication are essential to perform complex administrative duties in a professional services setting- Ability to operate standard office equipment, including personal computer, copier, facsimile, telephone, and Dictaphone.
- Proficiency in Microsoft Office suite, Document Management system, and Juris suite- Ability to organize and prioritize numerous tasks and complete them under time constraints
- Exceptional ability to proofread documents for grammatical, typographical, spelling, and formatting errors.
- Interpersonal skills necessary to follow instructions effectively and communicate in person, by email, and telephone in a courteous manner with both clients, attorneys, and other staff members.
