Our client, a Global Medical Device company, is seeking a Project Coordinator to join their finance team for a long term contract opportunity. Your responsibilities will include coordinating all aspects of projects, assisting with the development of work plans, tracking task statuses, maintaining RAID logs, and summarizing project progress. Additionally, you will help prepare portfolio, program, and project dashboards to keep all stakeholders informed and updated. You will support project management practices to ensure effective, efficient, and high-quality delivery that meets or exceeds business expectations. This position requires strong relationship management and collaboration across the PMO, working with global teams across various functions. The successful candidate must understand and articulate established project management governance, processes, and templates, utilizing the Smartsheet platform to ensure strategic alignment and successful execution. Excellent communication skills and strong experience in supporting project managers are essential. This role focuses on supporting business team tasks rather than leading a technical team.
- This is a hybrid position in San Diego (onsite & remote) and full time hours
- Rate range: $30-35/hr depending on experience
Responsibilities:
- Support and complete projects from initiation through delivery using an internal customer perspective and the established toolkit and processes in Smartsheet.
- Coordinate and support cross-functional teams through meetings and progress measurement activities to ensure projects are completed on time and within budget.
- Foster healthy, collaborative relationships with team members.
- Maintain enthusiasm, energy, and focus in various circumstances.
- Assist in developing project plans and templates for workstreams, including stakeholder engagement, communications, and change impacts.
- Support and develop project management governance, processes, and toolkit utilizing Smartsheet as the project management tool.
- Contribute to and review key workstream template deliverables.
- Advise workstream leads and other leaders on project implementation priorities using Smartsheet templates.
- Participate in all project management meetings and adhere to governance and disciplines of approved processes for the Finance PMO.
- Facilitate and document lessons learned and best practices throughout the project stages.
Required Qualifications:
- Minimum of 2 years of related experience
- Intermediate or advanced knowledge of Smartsheet
- Experience supporting projects from the idea phase through implementation, developing project plans/schedules, and tracking milestone completion.
- Ability to identify critical paths, surface roadblocks, and find creative solutions to resolve issues.
- Experience supporting Business Owners to ensure clear business prioritization of requirements and promote collaborative relationships across business and IT.
- Experience managing risks and anticipating potential issues, proposing plans to resolve them, and executing corrective actions.
- Developed working knowledge in various work processes or activities.
- Ability to cultivate strong stakeholder relationships and maintain effective communication channels.
- Supports program alignment with other company initiatives and manages cross-project dependencies.
- Provides recommendations on project management best practices and helps mature the Finance PMO using Smartsheet.
- Proven ability to support and partner with integrated teams from various internal and external organizations across geographies.
- Experience managing finance domain projects.
- Understanding of Agile PM practices.
