Job Description: Paralegal/Legal Assistant

RemX is assisting our client, a Oklahoma City litigation firm with a search for a dedicated and knowledgeable Paralegal/Legal Assistant to join their team. This role involves providing essential legal support and administrative assistance to ensure the efficient operation of the practice. The ideal candidate will possess a thorough understanding of firm processes, case management systems, and legal procedures.
Key Responsibilities:
- Organize and administer document and case management processes.
- Coordinate email, calendars, and contact information using PracticeMaster case management system.
- Assist in editing and finalizing legal pleadings, petitions, motions, and other documents.
- Manage exhibits for discovery and document production, including creating notebooks and binders.
- Prepare deposition notices, subpoenas, and communicate with opposing counsel regarding scheduling.
- Handle incoming and outgoing mail, including scanning, processing deadlines, and mail preparation.
- Track and communicate daily reminders and deadlines to attorneys.
- Arrange travel logistics for attorneys, including hotel, airline, and ground transportation.
- Assist in closing client matters and entering time into billing system.
- Provide support to other case managers/paralegals and perform additional duties as assigned.
Required Skills/Abilities:
- Effective verbal and written communication skills.
- Strong proofreading and editing abilities.
- Ability to work independently and under pressure with minimal supervision.
- Excellent organizational skills and attention to detail.
- Proficiency in managing telephone calls and conference arrangements.
- Flexibility to adapt to changing demands in a fast-paced environment.
- Capacity to build positive relationships and collaborate effectively with others.
- Maintain confidentiality and adhere to ethical standards.
- Basic proficiency in computer operations and office software.
Education and Experience:
- High school diploma or equivalent required.
- Minimum of 4 years of experience in a legal support role.
- Familiarity with federal and state court filing procedures.
- Insurance Defense experience preferred
Work Hours:
- Full-time position, Monday to Friday, 8:00 a.m. to 5:00 p.m.
- Occasional overtime work may be required based on business needs.
