Scion Nonprofit Staffing has been engaged to conduct the search for an Operations Coordinator for our client, a nonprofit organization that supports youth in Alameda County. This is a full-time, onsite, contract opportunity available for immediate hire. The position is onsite in Oakland, CA.
The Operations Coordinator plays an important role in ensuring a smooth and efficient workflow in the office. Under the supervision of the Finance and Administrative Director, the Operations Coordinator is responsible for administrative operations, including reception, providing administrative support to leadership, information management, and personnel liaison.
RESPONSIBILITIES
- Provide general administrative and operational support
- Maintain reception by answering the main phone line, disseminating voicemails, and greeting office guests
- Check general email accounts; respond or distribute emails to appropriate staff
- Maintain office equipment by coordinating repairs and managing vendor relationships
- Maintain office supplies by checking inventory, receiving requests, making orders, and organizing supplies
- Ensure a clean, safe, well-organized office
- Manage operational documents in Google drive and Salesforce, as well as physical file management
- Support transition to virtual file management
- Provide administrative support to the Finance and Admin Director and the leadership team
- Procure effective and timely IT support services to staff
- Liaise between the landlords, vendors, partners and the organization
- Process accounts payable and check deposits, weekly or as needed submit weekly and monthly reconciliation logs to the bookkeeper
- Assist in preparation for annual and grantor audits, as well as funder site visits
- Track vendor pricing, rebates, and service levels
- Support onboarding of new employees
- Calendaring meetings and staff out of the office
- Train new hires on operational functions and policies while developing ongoing training for employees
QUALIFICATIONS
- Minimum 3 years’ experience providing administrative support for multiple individuals in a nonprofit setting
- Have excellent people skills; able to build rapport with community, staff, youth, funders and partners
- Highly organized and systems oriented
- Have a solid understanding of Excel spreadsheets, Microsoft Office, Google Suite; experience with Salesforce preferred
- Passion for supporting young people, promoting healing-centered, trauma-informed youth development practices and working towards social change
COMPENSATION
This wonderful opportunity offers the ability to make significant impact within a well-established nonprofit organization that is making a difference in the lives of young people in Alameda County. This onsite, contract position offers an hourly pay rate of $30-35, depending on experience.
