Job Summary
Busy facial plastic surgery practice seeks a full-time Practice Administrator. This person will oversee office management and day-to-day operations including; scheduling appointments and surgeries, responding to new patient inquiries, billing, liaising with other professionals, handling intake procedures and maintaining patient records or delegating to appropriate staff. They will also interact with new and existing clients, acting as the liaison for patients with the practice.
The right candidate is personable with good phone etiquette and excellent writing skills. Attention to detail, and the willingness to take initiative is a must, as is customer service experience and excellent computer skills. Medical experience (plastics or derm) and social media skills are a plus. We are a busy, growing practice and perform multiple procedures a day. To succeed in this job you must have excellent communication and organizational skills.
There will be a training period to set these goals and expectations and acclimate to the office environment. We have excellent resources and friendly staff for training and support. We are looking for someone long-term, who seeks a career in aesthetic services, and has a willingness to grow with the practice.
Responsibilities and Duties
Manage the office and interact with new and existing clients in the practice. Sell procedures and their benefits to patients. Answer questions and respond to patient concerns, both before and after surgery or delegate responsibilities as needed. Ensure office opens and closes daily and provide daily reports to Dr. Stong.
- Manage day-to-day operations
- Manage patient consultations, follow-ups and scheduling procedures
- Provide monthly trend/analysis reports using Nextech software
- Develop marketing ideas and strategies to promote the practice
- Interview, hire and train new staff as appropriate
- Track and maintain product inventories
- Represent the practice in an enthusiastic and positive manner, including through patient interaction, social media, marketing and referrals
Qualifications and Skills
- BA / BS Degree required
- Management experience
- Marketing experience
- Sales experience
- Customer service experience
- Excellent phone and communication skills
- Experience in a plastic surgery, dermatology, or medical office is a plus
