Job Title: Wellness Receptionist

Job Summary:
We are seeking a dedicated and organized Wellness Receptionist to join our clients team. The ideal candidate will possess exceptional organizational skills, be detail-oriented, and have the ability to work efficiently in a fast-paced environment. You will be the face of our wellness center, greeting patients with warmth and professionalism while managing administrative duties. Your role is key to ensuring smooth daily operations, booking appointments, and handling communications.
Key Responsibilities:
- Patient Greeting and Interaction: Greet and assist all patients as they enter the wellness center, providing a welcoming and positive environment.
- Front Desk and Administrative Support: Efficiently manage the front desk, including answering phones, responding to emails, and handling SMS communications.
- Appointment Scheduling: Book patient appointments through our CRM system, ensuring accuracy and timeliness.
- CRM Management: Utilize our CRM platform to update patient information, track appointments, and manage communications.
- Administrative Tasks: Assist with additional administrative responsibilities such as candidate screening for wellness positions, managing waitlists, and helping with closed cases.
- Service Running: Step in to assist with operational needs, such as managing patient flow and ensuring the center runs smoothly, when required.
- Technology Proficiency: Work with Google Docs, spreadsheets, Macs, and mobile devices to complete day-to-day tasks efficiently.
Qualifications:
- Receptionist/Front Desk Experience: Minimum of 1 year of experience in a similar role, preferably within a wellness or medical setting.
- Technical Skills: Proficiency in CRM software, Google Docs, spreadsheets, and the use of Mac computers and mobile devices.
- Strong Communication Skills: Excellent phone etiquette, written communication, and comfort handling multiple modes of communication (phone, SMS, email).
- Wellness-Oriented: A passion for health and wellness and the ability to convey that to patients through interactions.
- Organizational Skills: High attention to detail, strong multitasking ability, and the capability to type quickly and accurately.
- Customer Service Focus: A patient-first approach, with the ability to handle sensitive situations with professionalism and empathy.

Preferred Skills:
