Our client, a leading pharmaceutical company in Conshohocken, PA, is seeking an Executive Assistant to join their team! The ideal candidate will have extensive experience handling complex administrative duties and managing various projects with a high level of attention to detail.
About You:
- Minimum of 3 years of experience in an administrative support role, preferably in a research, scientific, or technical environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Concur experience is highly-desired, but not required.
- Strong organizational skills with attention to detail and ability to manage multiple tasks and priorities.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively with cross-functional teams.
- Experience coordinating meetings, travel arrangements, and managing schedules.
- Ability to maintain confidentiality and handle sensitive information with discretion
About the Job:
- Provide high-level administrative support to R&D leadership and team members, including managing calendars, coordinating meetings, and handling correspondence.
- Organize and maintain department documentation, records, and files to ensure easy access and retrieval.
- Assist in the preparation of reports, presentations, and other materials as required by the R&D team.
- Process expense reports and maintain budgets for the department, ensuring compliance with company policies.
- Coordinate internal and external meetings, including preparing agendas, meeting materials, and taking minutes when necessary.
- Manage special projects for the department, ensuring timely completion and effective communication with stakeholders.
- Serve as a point of contact for internal and external communications, ensuring efficient information flow.
- Support the onboarding of new R&D staff and contractors by assisting with administrative tasks and coordination.
