Job Title: Executive Assistant Project Coordinator
Location: Chicago, IL
Hybrid: 2 days in the office
Target Pay Rate: $80K-$100K plus 15% bonus
Travel Requirements: 10-15%
To be considered: Must have 3+ years of related experience with the food /beverage manufacturing, CPG or manufacturing space to be considered.
This role will report to the Chief HR Officer and coordinate workflows across the HR leadership team.
Responsibilities:
- Structure, organize, and coordinate workflows across the HR leadership team.
- Maintain the annual HR planning calendar and ensure timely updates, actions, and routines.
- Facilitate the onsite interview process at HQ.
- Coordinate local training logistics at HQ.
- Assist with university recruiting and internship program preparation.
- Maintain and track the HR budget.
- Support HR and employee connections between the facilities and the parent company.
- Develop, compile, and review reports, presentations, and employee communications.
- Partner with the office assistant to purchase and manage office supplies and equipment.
Skills/Qualifications Required:
- 5+ years of administrative support experience in a fast-paced environment.
- Bachelor’s degree in Business or a related field preferred, or a combination of education and relevant work experience required.
- Ability to manage a high volume of requests with organization and urgency, ensuring timely follow-up.
- Maintain a high level of confidentiality, professionalism, discretion, and judgment.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Strong organizational skills with the ability to prioritize workload and meet deadlines in a dynamic environment.
- Ability to work independently and in a team, using resources to remove obstacles and find solutions.
- Exercise good judgment, gather and organize data, and communicate effectively with involved parties.
- Proactive, anticipatory, and adaptable problem-solver.
