Our Client a well Known Investment Bank is seeking an Administrative Assistant in their New York, New York Location!
*Must have Financial Services experience*
Responsibilities:
- Provide backup support for the Chief Operating Officer’s Executive Assistant
- Process timely and detailed expense reports via Concur for employee reimbursement.
- Coordinate travel arrangements for senior staff including but not limited to ground transportation, flights, hotel accommodations, etc.
- Schedule meetings and coordinate details such as catering needs, guest registration, conference rooms, and video connectivity if applicable. Greet guests upon arrival to the office.
- Administer client data in salesforce database (OneBanker and BoardEx)
- Upload documents/materials on SharePoint websites. Maintain accurate data on relevant sites.
- Participate in projects including but not limited to internal and external conferences, client events, and data management.
- Partner, collaborate and coordinate with administrative team; provide back up as needed.
- Oversee general office needs such as ordering supplies, business cards, and mail distribution.
Requirements:
- Three years’ experience as an administrative assistant in finance industry preferred
- Proven expertise in SharePoint and Concur.
- Knowledgeable of Microsoft Office applications especially Outlook, Word and Excel
- Familiarity with a corporate office environment in terms of professionalism, etiquette, dress
- Utilizes good judgement and discretion, maintains the highest level of confidentiality
- Excellent written and verbal communication skills
- Detail-oriented, personable with a consistent positive attitude
- Ability to work in a team environment and handle multiple tasks with little or no supervision
- College grad a plus
