The Lead Administrative Professional is responsible for managing daily administrative tasks and providing specialized support in areas like audit, compliance, and data privacy. This role also involves liaising with key stakeholders across different locations and assisting with monitoring and reporting. The position requires strong organizational, communication, and problem-solving skills, with the ability to work independently and support various internal processes.
Key Responsibilities:
Audit, Compliance, and Data Privacy:
- Ensure continuous audit readiness by adhering to company policies.
- Participate in audit activities, maintaining all required documentation.
- Assist in preparing documents for internal and external audits related to quality, security, and compliance.
- Ensure statutory and regulatory compliance, including building codes, data privacy, and other requirements.
- Maintain records for Health, Safety, and Environment (HSE) data and assist in audit processes.
- Implement and monitor compliance with client-specific and company-wide security requirements.
Documentation and Reporting:
- Create, update, and maintain reports related to vendor evaluations, preventative maintenance, data privacy, and other administrative functions.
- Prepare critical location-specific documents for audit and compliance purposes.
- Maintain trackers for preventive maintenance schedules and other operational processes.
General Administrative Support:
- Handle any other administrative tasks assigned by supervisors.
- Support process improvement initiatives and ensure smooth execution of day-to-day functions.
Qualifications:
- Associate degree required.
- 5-10 years of experience in administrative roles, preferably in facilities serving 1000+ employees.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Strong knowledge of office management, safety procedures, personnel management, finance/accounting, and audit/compliance standards.
- Excellent communication skills, both written and verbal.
- Strong organizational, analytical, and decision-making abilities.
- Ability to work in a diverse and fast-paced environment with strong teamwork and interpersonal skills.
- Must be flexible, proactive, and able to multitask effectively.
Additional Requirements:
- Must be accessible for emergency situations and available for work beyond regular business hours, if necessary.
