The Talent Resource Coordinator assists our business with talent engagement, maintenance, and helps provide the highest quality of customer service to our talent while on contract with Medix through the first step of the compliance process; their Onboarding process. Along with this, the Talent Resource Coordinator is responsible for ensuring the office they support is running smoothly from a day to day operations perspective. The Talent Resource Coordinator’s duties are primarily customer service oriented, ability to have high attention to detail, and tech savvy troubleshooting to ensure that we are able to guide our Talent through their Onboarding paperwork once they accept a job opportunity with Medix.
Goals
- Positively impact the experience of every talent we place when they accept a job offer
- Accurately select & launch appropriate paperwork for all State / Client Requirements for each Talent
- Verify, audit, and complete all Onboarding documents per the Client, State, and Federal requirements
- Seamlessly transition Talent through to initiate compliance and communicate with the Talent next steps of the process
- Provide “executive” assistance to the Director of Business Operations for smooth running of the office
- Oversee data integrity for the applicant tracking system
- Positively impact the experience of every Internal teammate by being the champion of employee engagement initiatives
WHAT YOU’LL DO:
Onboarding
- Acts as the main point of contact for all talent going through the onboarding process for a particular office(s).
- Examine job requirements and assign paperwork to each Talent via onboarding platform in a timely manner
- Proactively communicate with Contract Specialist of new clients and compliance changes
- Communicate with Talent expectations surrounding paperwork. Provide excellent customer service for Talent needing assistance with portal / documents.
- Audit all returned onboarding paperwork to verify accuracy and completeness per clients compliance requirements
- Complete onboarding paperwork for I-9 and E-Verify compliance. Execute any additional follow up that may be required per federal regulations
- Transition Talent to Talent Compliance Specialist and communicate with the Talent on upcoming steps of the compliance process
Credentialing
- Collect and verify Talent’s provided credentials per client requirements
- Complete data entry into Applicant Tracking System (ATS) and required online portals
- Collaborate with Talent Compliance Administrator to track and communicate expiring credentials with Talent to remain in compliance
Team Coaching
- Collaborate with field teammates on Onboarding best practices
- Attend daily / weekly Fastrak’s to provide Onboarding updates to the field
- Communicate with Account Manager and Recruitment teams on overall status updates on Talent and potential fall offs
Master Data Officer
- Audit starts to support payroll team in smooth transition of information to payroll system + audit finishes to ensure data is accurate for talent HR team
- Meet with Account Management team on Open Reqs and Aging Reqs for job board accuracy
- Assist with tracking the return of talent equipment
Employee Engagement
- Acting as the “Face” of the office as the first point of contact for all office related questions, inventory needs, and main line phone calls
- Internal HR liaison on internal-related subjects such as PTO, Expenses, who-to-contact sheets, Quarterly Themes and internal corporate employees
- Initiating “Best First Day” program for all internal starts
- Ownership of calendaring starts first 4 weeks at Medix
- Coordinating lunches, shadows, meet and greets with the teammates in the office
- Responsible for scheduling 6, 12, and 26 week reviews and ensuring completion
- Owning all Internal Employee engagement initiatives such as birthdays, anniversaries, day of service, and team outings
Executive Assistant - DBO
- Organizing and overall ownership of DBO’s calendar
- Scheduling office meetings such as Plus Deltas, Sales Meetings, Metric Reviews, weekly DEFTs
- Maintaining Office Org Chart / Roster reporting
- Attending office meetings to transcribe and report out contents to the office
